The Sales & Marketing Support Coordinator supports the Director, Canadian Sales and Marketing teams by managing key administrative, operational, and customer-facing activities. This role serves as a central coordination point across Sales, Marketing, Customer Support, Finance, and external partners to ensure smooth execution of sales operations, customer inquiries, events, and office processes.Key
Responsibilities
Office & Administrative Operations
- Provide administrative support for Managing Director
- Oversee office operations, vendor coordination, and shipments
- Manage incoming calls and customer-facing phone lines
- Coordinate meetings, calendars, and travel
- Provide administrative support to leadership
- Lead onboarding logistics and manage office systems (security badges, documentation, records)
Sales Operations & Commercial Support
- Prepare capital quotes and coordinate capital order processing with internal teams
- Support sales forecasting and new business submissions in Salesforce
- Act as liaison between customers, distributors, and internal teams for orders, inquiries, and backorders
- Resolve sales tracing discrepancies and ensure accurate reporting in Power BI
Customer Service & Quality Support
- Process and file product complaints per quality and regulatory requirements
- Provide Certificates of Analysis/Conformity (COA/CoC) as needed
- Manage invoicing and approvals
- Distribute weekly Back Order reports and coordinate inventory needs with supply chain and distributors
Marketing, Events & Field Support
- Coordinate conference registrations and logistics
- Manage marketing collateral, product samples, and event materials
- Support shipment of samples, badges, and materials to field teams
RFP, Contract & Business Support
- Support development and submission of RFP/RFI responses
- Coordinate timelines and inputs to ensure accurate, on-time submissions
Required:
- High school diploma/G.E.D or equivalent required, Associate's or technical degree preferred.
- 2+ years of experience in sales support, marketing operations, or administrative coordination
- Proficiency in Microsoft 365; Salesforce experience an asset
- Bilingual: English & French required
- Strong organizational, communication, and stakeholder management skills
- Ability to manage multiple priorities with attention to detail
- Experience in regulated or healthcare environments is an asset
