Join us as our HR Coordinator and play an important role in supporting our employees, leaders, and day-to-day HR operations. This hands-on position provides exposure to a variety of HR functions, including recruitment, onboarding, employee documentation, HR administration, and coordination of workplace and office requirements. Reporting to the HR Executive, you will help ensure employees and new hires receive a professional, organized, and positive experience while providing administrative support to the broader leadership team.
Work Location
This position is currently based in Calgary, Alberta. The Company anticipates relocating the position to Balzac, Alberta within approximately 6–9 months, at which time onsite employee parking will be provided. Candidates should be comfortable commuting to the Balzac location once the transition occurs. The position may also require occasional travel to other Company locations or worksites based on operational and business requirements.

Responsibilities
HR Administration
- Maintain employee files, HR records, forms, and documentation.
- Prepare employment letters and standard HR correspondence.
- Track outstanding employee documentation and required follow-ups.
- Assist with HR reporting and internal HR projects.
- Maintain confidentiality of employee and business information.
Recruitment
- Post job opportunities and review applications against position requirements.
- Conduct initial candidate pre-screening where appropriate.
- Schedule interviews and communicate with candidates throughout the recruitment process.
- Conduct reference checks as required.
- Assist with employment offers and pre-employment documentation.
- Maintain recruitment records and candidate status tracking.
Onboarding
- Prepare new-hire documentation and ensure required forms are completed.
- Coordinate office access, keys, parking, computer, equipment, and workstation requirements.
- Coordinate orientation schedules and introductory meetings.
- Support employees during their first-day onboarding.
- Ensure all onboarding requirements are completed.
Office Coordination
- Monitor and order office supplies, equipment, and materials.
- Coordinate with vendors and service providers as required.
- Assist with meetings, filing, document preparation, and general office organization.
- Provide administrative support to HR Executive(s) and Ownership as required.
- Develop and execute comprehensive HR strategies aligned with organizational goals, including change management initiatives to facilitate smooth transitions during company growth or restructuring.
- Lead talent acquisition efforts by overseeing recruiting processes, utilizing ATS (Applicant Tracking Systems) such as Workday, Oracle HCM, SAP SuccessFactors, or UltiPro to attract top talent across all levels.
- Manage employee relations by fostering open communication channels, resolving conflicts promptly, and ensuring a positive work environment that complies with employment laws and best practices.
- Oversee HRIS (Human Resources Information System) data collection and analysis to inform decision-making, improve processes, and enhance reporting accuracy.
- Supervise HR teams responsible for onboarding, training & development programs, payroll administration via systems like ADP or Kronos, and benefits management to ensure seamless employee experiences.
- Implement process improvements in HR operations through program management expertise to streamline workflows and optimize resource allocation.
- Negotiate employment terms with candidates and vendors while maintaining compliance with labor regulations; oversee budgeting for HR initiatives and projects.
Experience
- Degree or diploma in Human Resources.
- 1–3 years of HR administration, full cycle recruitment, or coordination experience preferred.
- Strong organizational and time-management skills with attention to detail.
- Professional written, verbal, and interpersonal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Ability to handle confidential information with discretion.
- Experience in home building, building products, construction, or manufacturing is an asset.
Technical Knowledge
- Basic knowledge of Alberta Employment Standards, Human Rights legislation, and Occupational Health and Safety requirements.
- Proficiency with Microsoft Outlook, Word, Excel, SharePoint and Teams.
- Experience with HRIS or applicant tracking systems is an asset.
