About Slice Baby Slice
Slice Baby Slice is a Toronto-based food company operating from a 9,000 sq. ft. commissary kitchen in East York. We produce and distribute premium pizza, sauces, and prepared foods across retail, wholesale, e-commerce, and catering channels — including through our catering division, The Social Catering & Co., which serves institutional and corporate clients throughout the GTA. We are a small, fast-moving team that takes quality seriously and runs on trust, initiative, and follow-through.
The Role
We are looking for a highly organized, self-directed Office & Catering Administrative Coordinator to serve as the operational backbone of our office and a key support pillar for our catering division. This is a full-time, dual-focus role: roughly half your time will be dedicated to general office and business administration, and the other half to supporting the day-to-day operations of The Social Catering & Co. — from the first client inquiry through to post-event follow-up.
This role is well suited to someone who communicates professionally, manages details without dropping the ball, and takes pride in making things run smoothly behind the scenes. The position is Monday to Friday. Candidates must be able to commute reliably to 19 Waterman Ave, East York.
What You'll Be Responsible For
Office & General Administration
- Managing day-to-day office administration, including correspondence, filing, scheduling, and document management
- Fielding and triaging all incoming business inquiries — calls, emails, and messages — and routing them to the appropriate team members promptly and professionally
- Assisting with light accounting duties, including payroll coordination, invoice tracking, and vendor communications
- Coordinating vendor and supplier correspondence, including purchase orders, delivery follow-up, and expense tracking to support month-end bookkeeping
- Providing HR and contractor administration support: onboarding documentation, employment files, contractor agreements, and related paperwork
- Drafting, proofreading, and formatting internal and external business documents and communications
- Providing direct administrative support to the owner and operations team on a broad range of business tasks
- Assisting with light e-commerce and wholesale order administration as needed
- Conducting research and completing ad hoc tasks as assigned by the owner and management team
- Maintaining organized records and systems that support a growing, multi-channel food business
Catering Administration — The Social Catering & Co.
- Serving as the first point of contact for all incoming catering inquiries, responding to clients promptly, professionally, and with a hospitality-forward tone
- Coordinating all catering quotes and proposals with the catering manager, ensuring accuracy, timely delivery, and proper follow-up with prospective clients
- Tracking the full catering sales cycle — inquiry, proposal, confirmation, and close — and maintaining an up-to-date record of all active and pending bookings
- Ensuring client deposits and final payments are collected, processed, and recorded on schedule, and following up on any outstanding balances
- Sending booking confirmations, event documentation, and any contract paperwork to clients in a timely and organized manner
- Maintaining and updating the catering event calendar, ensuring all bookings, holds, and changes are accurately reflected at all times
- Liaising between clients and the catering team on event details, menu selections, dietary requirements, and any last-minute changes
- Organizing and maintaining all catering files: contracts, invoices, event sheets, dietary notes, and client correspondence
- Coordinating post-event follow-up with clients, including thank-you communications and any outstanding administrative items
- Assisting with catering menu documentation, package updates, and any materials required for client-facing presentations or proposals
- Supporting the catering manager with any additional administrative tasks required to deliver a seamless client experience
What We're Looking For
- Proven experience in an administrative, office management, or operations coordination role; prior experience supporting a catering, events, or hospitality operation is a strong asset
- Strong organizational skills with exceptional attention to detail — you manage multiple moving parts and nothing slips through
- Comfortable with light bookkeeping or payroll coordination (experience with QuickBooks or similar is an asset)
- Advanced computer literacy across standard business software — Google Workspace, Microsoft Office, and the ability to learn and adapt to new platforms quickly and independently; this is a tech-forward office and you will be expected to hit the ground running
- Working knowledge of AI tools (such as ChatGPT, Claude, or similar) and a genuine curiosity about how AI can improve day-to-day workflows and productivity
- Native or near-native fluency in English is required; the role involves significant written correspondence, document drafting, and client-facing communication where precision and professionalism in the language are essential
- A polished, professional communicator — both in writing and on the phone — who represents the business well in every client interaction
- Ability to work independently, manage priorities, and exercise good judgment without constant direction
- AI experience or understanding
- A calm, reliable presence who thrives in a fast-paced, entrepreneurial setting
- Proximity to East York or ability to commute reliably to 19 Waterman Ave is essential
Compensation & Schedule
- $22–$26 per hour, depending on experience + TIPS
- Full-time, Monday to Friday
