About the Role
We are a high-volume, established mortgage brokerage team looking for an exceptional, detail-obsessed Mortgage Assistant / Deal Administrator to join us in-person. This isn't a generic data-entry job. You will be the engine of our backend operations—managing client files, auditing complex financial documentation, and driving the fulfillment process from initial submission straight through to funding.

Key Responsibilities
- File Auditing & Document Chasing: Review client fulfillment documents (income verification, down payment tracking, NOAs, bank statements) for compliance, legibility, and absolute accuracy before lender submission.
- Underwriting Support & Submission: Input data into our origination platforms (Velocity/Finmo/Filogix) and compile clean, structured submission packages that underwriters love.
- Pipeline Management: Proactively follow up on lender conditional approvals, track outstanding conditions, and clear files for closing.
- Liaison & Communication: Act as a proactive, high-touch point of contact for clients, real estate agents, lenders, and real estate lawyers to keep everyone updated on file milestones.
- Database Hygiene: Keep our CRM updated in real-time so nothing ever falls through the cracks.
What We Are Looking For
- Experience: Minimum 1–2 years of direct experience in the Canadian mortgage or real estate industry (Brokerage assistant, Bank/Lender fulfillment, or Real Estate Law Clerk experience is highly preferred).
- Technical Literacy: Experience with Canadian mortgage origination software and modern CRM platforms.
- The "Hawk" Eye: An elite level of attention to detail. You spot missing pages, mismatched names, and calculation errors instantly.
- Local Commute: This is a fully in-person role based out of our office in the York Region. Reliable transportation to the Whitchurch-Stouffville area is required.
Pay: $21.00-$22.00 per hour
