We are looking for a reliable, proactive, and detail-oriented Front Desk Receptionist to join our team this September to keep our daily operations running smoothly.
Job Summary
As the first point of contact at Helix, you will play a crucial role in managing patient care logistics, coordinating schedules for our therapist team, and processing insurance claims. You will also take pride in keeping our clinic environment exceptionally clean, organized, and welcoming for everyone who walks through the door.
Key Responsibilities
- Insurance Claim Processing: Submit, track, and manage direct billing claims to various extended health insurance providers on behalf of patients.
- Therapist Schedule Management: Actively manage and coordinate booking calendars across multiple therapists, optimizing appointment slots, handling cancellations, and managing waitlists.
- Clinic Cleanliness & Maintenance: Perform light cleaning and tidying duties throughout the clinic (including the reception area, treatment rooms, and common spaces) to maintain high hygienic and professional standards.
- Client Relations: Greet patients warmly, manage check-ins/check-outs, answer phone calls, and respond to email inquiries efficiently.
- Payment & Administration: Process patient payments (debit/credit), issue receipts, manage digital intake forms, and update client files securely.
Qualifications & Skills
- Strong comfort level with administrative tasks, data entry, and processing insurance claims (experience with Telus eClaims or clinic software like Jane is highly valued, but training will be provided).
- Excellent organizational and multitasking skills to coordinate schedules for multiple therapists simultaneously.
- Proactive attitude with a willingness to take ownership of keeping the clinic clean and tidy.
- Strong verbal and written communication skills in English (bilingualism in French is an asset).
- Punctual, dependable, and professional in demeanor.
