Job Overview
We are seeking a highly organized and proactive HVAC Service Manager/Dispatcher to oversee daily service operations and coordinate technician schedules. This role requires excellent communication skills, strong attention to detail, and proficiency with various management and dispatching systems. The ideal candidate will possess a clear understanding of the HVAC industry & ensure efficient service delivery, maintain clear communication with clients and team members, and support the overall success of our HVAC service department.
Responsibilities
- Manage the dispatching of HVAC service technicians to scheduled appointments, emergency calls, and maintenance requests..
- Maintain accurate data entry for service tickets, customer information, and work orders.
- Communicate clearly with clients via phone etiquette and multi-line phone systems to confirm appointments, provide updates, and address inquiries.
- Oversee shipping & receiving processes for parts and equipment related to service jobs.
- Quoting on any parts or replacement equipment, assisting in the construction side of the company
- Analyze operational data to improve scheduling efficiency and overall workflow.
- Collaborate with supply chain teams to ensure timely availability of parts and materials needed for service calls.
- Monitor freight movements and coordinate with logistics providers to optimize delivery schedules.
- Provide exceptional customer service through effective communication skills and professional phone etiquette.
Qualifications
- Proven experience with dispatching
- Strong understanding of HVAC industry
- Excellent data entry skills with high accuracy; proficient in typing and managing multi-line phone systems.
- Analytical skills to interpret operational data for process improvements.
- Outstanding communication skills—both verbal and written—and professional phone etiquette.
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail.
- Strong organizational skills with the ability to prioritize tasks effectively.
