CMU College of Makeup Art and Design is seeking an organized and detail-oriented Bookkeeping & Office Administration Coordinator. This position is responsible for day-to-day bookkeeping using QuickBooks and supporting the efficient operation of the college’s administrative office.
The successful candidate should be comfortable with modern technology, including AI tools such as ChatGPT and Claude, and be willing to learn and apply these tools to improve daily work processes.
Key Responsibilities
- Perform day-to-day bookkeeping using QuickBooks.
- Record financial transactions, including revenue, expenses, deposits, and payments.
- Manage accounts payable and accounts receivable.
- Prepare invoices, issue payments, and follow up on outstanding balances.
- Complete bank and credit card reconciliations.
- Maintain accurate financial records and supporting documents.
- Assist with payroll information and expense reimbursement processing.
- Prepare regular financial reports for management.
- Assist accountants and auditors by preparing requested records and supporting documents.
- Maintain organized electronic and paper filing systems.
- Coordinate office supplies, correspondence, appointments, and other administrative activities.
- Support management and other departments with general administrative tasks.
- Learn and use AI tools, including ChatGPT and Claude, to improve administrative processes, draft routine communications, summarize information, and increase efficiency.
- Ensure confidential financial, employee, and student information is handled appropriately.
- Perform other bookkeeping and administrative duties as assigned.
Qualifications
- At least three years of bookkeeping or related accounting experience is required.
- Practical experience using QuickBooks is required.
- Diploma or degree in accounting, bookkeeping, business administration, or a related field is preferred.
- A Canadian accounting designation, or progress toward one, is an asset.
- Experience with accounts payable, accounts receivable, reconciliations, and financial reporting.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Knowledge of AI tools such as ChatGPT, with a willingness to learn and apply AI appropriately in daily work.
- Strong attention to detail and accuracy.
- Excellent organizational, time-management, and communication skills.
- Ability to handle confidential information professionally.
- Ability to work independently and manage multiple priorities.
Pay: $40,000.00-$50,000.00 per year
