We are looking for a highly organized, professional, and proactive Office Administrator to become the face of our head office. This is not a traditional receptionist role. You will be responsible for ensuring the office operates efficiently while supporting purchasing, shipping, office administration, and day-to-day operational coordination.
You will report to the Office Manager and work closely together, sharing responsibilities to ensure the office, staff, customers, suppliers, and visitors receive exceptional support.
This role is ideal for someone who enjoys variety, thrives in a fast-paced manufacturing environment, takes ownership of their work, and solves problems independently.
Primary ResponsibilitiesFront Office
- Welcome customers, suppliers and visitors professionally.
- Answer and direct incoming phone calls.
- Manage the front reception area and meeting rooms.
- Receive deliveries and visitors.
- Coordinate incoming and outgoing mail and courier shipments.
Shipping & Logistics
- Prepare shipping documentation.
- Coordinate courier pickups and deliveries.
- Track shipments.
- Resolve shipping issues with carriers.
- Assist production with shipping administration.
Purchasing Support
- Create purchase orders.
- Coordinate with vendors.
- Track outstanding orders.
- Follow up on deliveries.
- Maintain supplier information.
- Assist with inventory-related administrative work.
Office Administration
- Support Office Manager with daily operations.
- Maintain office supplies.
- Organize files and documentation.
- Assist with company events and meetings.
- Prepare reports and spreadsheets.
- Support multiple departments with administrative tasks.
Manufacturing Administration
- Assist production administration.
- Process work orders.
- Organize production paperwork.
- Support communication between departments.
- Help maintain accurate documentation.
What We're Looking For
- 3+ years of office administration experience.
- Manufacturing, printing, signage, logistics, or industrial experience preferred.
- Excellent verbal and written communication.
