Are you an experienced Executive Assistant with a passion for delivering exceptional executive-level support? Do you excel at managing competing priorities, maintaining impeccable organization, and fostering seamless communication in high-pressure environments? If you enjoy working as part of a team who strive to make a difference every day, we would like to hear from you.
In this role, you'll work directly with our Vice President, Operations and their Director-level leadership team - managing schedules, turning ideas into polished presentations, and keeping things on track when priorities shift quickly. This role would suit someone with solid senior EA experience who knows how to anticipate needs rather than just react to them.
With opportunities to lead improvements and drive efficiencies, this is the perfect opportunity for someone who loves taking the initiative and making an impact. From strategy preparation to board-level reports and presentations, you will make a key contribution to transformative initiatives that directly impact our front-line employees.
What You'll Do:
- Executive Support: Manage calendars, triage correspondence, and coordinate meetings, ensuring agendas are prepared, action items are tracked, and follow-ups are chandled
- Reporting & Presentations: Turn high-level direction into clear, well-built leadership reports and presentations
- Process Improvement: Spot inefficiencies in how the office runs and lead the fix, rather than waiting to be asked
- Communication Hub: Act as the main point of contact for the VP's office, and connect with other EAs across the organization to share practices and coordinate priorities
- Financial Oversight: Track departmental spend, support budget preparation, and keep financial records accurate
- Event & Travel Coordination: Handle logistics for travel, events, and key internal/external stakeholder meetings
What You Bring:
- Post-secondary education in Business Administration (or equivalent) and at least 10 years in a senior administrative or Executive Assistant role, OR an equivalent mix of education and experience
- Prior experience supporting C-Suite executives is desired
- Advanced skills in the MS Office suite, including PowerPoint, and expertise in email and calendar management
- Familiarity with digital tools and systems to enhance productivity and organization
- Demonstrated ability to work as part of a team and a desire to contribute to our shared successes
- Outstanding multitasking abilities and attention to detail
- A discreet and professional demeanor with strong diplomacy and tact
