Reporting to the Site Leader, the Receptionist works in collaboration with the professional care team staff. The main accountabilities of the position are providing reception duties for the site and providing clerical support and administrative assistance to the Site Leader to ensure smooth day-to-day operations. The incumbent in the position is expected to maintain a professional relationship with multiple stakeholders including care staff, support services staff, family physicians, visiting professional staff, residents, families, volunteers and visitors.
The incumbent also acts as a role model and ambassador for the Mission and Values of the Foundation.
Areas of Responsibility
- Supports a culture of resident centered care and service, respect, collaboration, quality improvement, resourcefulness and outstanding customer service.
- Performs clerical and general office support for residents and staff on the nursing units.
- Creates, maintains and discharges resident’s health records and other documents related to resident activities on the nursing unit.
- Transcribes and processes medical orders from the resident’s physicians including scheduling resident’s tests, consultations and appointments.
- Brings resident and family issues and concerns to attention of the Site Leader, Clinical Lead or Registered Nurse (RN) on duty.
- Orders routine office and medical surgical supplies for the nursing units.
- Checks, maintains and restocks forms and supplies as required and lets Clinical Lead know if additional or unusual supplies need to be ordered or will need to be stocked for immediate use.
- Orders and manages protective equipment and supplies (PPE) required when Outbreak protocols in place.
- Keeps an inventory of all care supplies.
- Assists with maintenance of electronic nursing documentation systems.
Formal Education and Experience:
- Completion of a Unit Clerk course from a recognized program.
- Successful completion of a course in medical terminology.
- Proficiency in the English language.
Special Knowledge/Skills:
- Strong Microsoft Office skills; including Excel, Word, and PowerPoint.
- Act as an advocate for resident needs and choices.
- Flexible in accommodating resident’s needs.
- Ability to maintain confidentiality of resident, family and staff information.
- Ability to prioritize multiple work demands and meet deadlines.

Hours of work: Monday – Friday 0800-1615H
Starting Salary will commensurate based on Education and Experience.
