We're a growing creative and marketing agency that works primarily with home service businesses and contractors. We handle video content, social media, and paid advertising for our clients.
We're looking for a **part-time Operations Assistant** who can help take the day-to-day production and administrative work off our plate and make sure projects keep moving.
This isn't a highly technical role. We are looking for someone who is **extremely organized, detail-oriented, proactive, and comfortable learning new systems.**
You'll work directly with our founder and our video editor, with the opportunity for the role to grow as the agency grows.
## What You'll Be Doing
Initially, your responsibilities will focus heavily on our video production workflow:
* Organize footage after client shoots
* Sort footage by client, project, and location
* Separate A-roll and B-roll footage
* Review footage and remove obvious unusable clips
* Help identify preferred A-roll takes
* Create and organize tasks inside ClickUp
* Schedule content and project deadlines in ClickUp
* Assign and tag our video editor
* Prepare editor notes and project information
* Make sure projects are moving and deadlines aren't being missed
* Upload, organize, and manage files in Google Drive
* Help schedule/publish approved social media content
* Perform basic quality control on completed edits
* Handle miscellaneous administrative tasks as needed
* Handling email communication
Over time, we'd like this person to take more ownership over the entire workflow from:
**Filming Completed → Footage Organized → Editor Assigned → Edit Completed → Content Approved → Content Published**
The goal is for you to eventually help make sure projects move through the agency without needing to personally manage every step.
## Tools We Use
Experience with these is helpful, but you don't need to know everything:
* ClickUp (MUST)
* Google Drive (MUST)
* Slack
* Instagram / Facebook
* Google Docs / Sheets
* Video platforms and large video files
Experience working with video editors, content agencies, marketing agencies, or production teams is a big plus.
## What we're looking for

* Extremely organized

* Good at following documented processes/SOPs
* Comfortable watching training videos and implementing what you've learned
* Able to communicate clearly in English
* Comfortable asking questions when something isn't clear
* Comfortable working with large amounts of video content/files
* Able to notice when something is missing or a project isn't moving
We're especially looking for someone who doesn't need to be reminded about every task.
## Hours
This will start as a **part-time position, approximately 10–15 hours per week.**
There is potential for significantly more responsibility and hours as the agency grows.
You should have some availability that overlaps with **9 AM–5 PM Eastern Time (Toronto)** for communication with our team.
You do not need to be online for the entire 9–5 period.
## Training
You will not be expected to figure everything out yourself.
We're actively building detailed SOPs and screen-recorded training videos showing exactly how we:
* Organize footage
* Use ClickUp
* Prepare projects for editing
* Communicate with editors
* Schedule content
* Manage our production workflow
Your job will be to learn these systems, follow them consistently, and eventually help improve them.

We're not looking for someone to complete random tasks for a few weeks.
We'd like to find someone who can grow with the agency.
As you become familiar with the business, there will be opportunities to take ownership of more areas including:
* Project management
* Client onboarding
* Editor management
* Content scheduling
* Client communication
* Quality control
* Agency operations
This could eventually develop into an **Operations Coordinator / Project Manager** position.
