We are looking for a highly organized Bookkeeper/Office Administrator to join the team on a permanent, four days a week (30 hours) basis in our downtown office in Vancouver, BC. This pivotal role cares about building and maintaining excellent relationships with the internal team, subcontractors, consultants, clients and our community. The role involves overseeing both financial aspects and office administrative functions in support of the organization. The ideal candidate will exhibit exceptional organizational and financial acumen while maintaining a professional demeanor. The candidate will support the team on the administration front to 7 other staff members and board of director group.
An excellent Bookkeeper/Office Administrator must be well-versed in computer and administrative tasks. The ideal candidate will have great organizational, problem solving, and communication skills and is able to work both independently and as part of a team in a fast-paced environment.
Key Responsibilities
Bookkeeping / Financial Management: (55%)
- Manage monthly invoices and recording financial transactions
- Prepare monthly personal and corporate expense reports and disbursements
- Supervise corporate business accounts and request funds from Directors when necessary
- Monitor and track the annual budget
- Ongoing bookkeeping and cost tracking as required
- Data Entry
- Bookkeeping and Basic Accounting
- Compliance and Reporting
Office Administration (45%)
- Assists with overall administrative functions and duties on large or several smaller projects
- Preparation of contract and addendums from templates and monitor third-party consultant

- Handle all office related purchases
- Organize meetings
- Answer phone calls and communicate with external contacts
- Oversee filing and digital records management
- Collaborate with the IT consultant to address IT-related issues
- Develop and maintain strong relationships with internal team and external contacts

- Junior Accounting Strong proficiency in MS Office applications, a working knowledge of Quickbooks Online Intuit
