Shift/Hours: Monday – Friday, full-time. 7am to 4pm.
Compensation Range: $25.00 - $30.00 per hour based on experience

About This Opportunity
We are seeking an organized and detail-oriented Project Coordinator to support civil construction projects across Ontario.
This role provides administrative, coordination, documentation, and communication support to Project Managers, operations, subcontractors, suppliers, consultants, and internal teams. The Project Coordinator helps ensure project information is accurate, organized, and communicated effectively throughout the project lifecycle.
The successful candidate will be comfortable working in a deadline-driven environment, maintaining project records, supporting change management, coordinating documentation, and assisting with the administrative details that help projects run smoothly.
Responsibilities:
Project Coordination & Administration:
- Support Project Managers with day-to-day project coordination and administrative tasks
- Assist with organizing project information, schedules, drawings, specifications, contracts, scopes of work, permits, and related documents
- Coordinate and track project documentation, including RFIs, submittals, change orders, site instructions, meeting notes, deficiencies, closeout documents, and other project records
- Maintain project folders, logs, tracking sheets, correspondence, and document control systems
- Support communication between Project Managers, Site Supervisors, subcontractors, suppliers, consultants, inspectors, and internal teams
- Assist with scheduling meetings, preparing agendas, taking notes, and following up on action items
- Help track project deadlines, deliverables, outstanding items, and required follow-ups
- Support project handoff, start-up, progress tracking, and closeout activities as required
Contract, Change & Cost Support:
- Assist with preparing, tracking, and organizing change orders, quotations, extra work records, approvals, and supporting documentation
- Support project cost tracking, purchase orders, invoices, delivery tickets, timesheets, rentals, and other project-related records as required
- Assist with compiling information for billing, progress claims, work-in-progress reporting, and internal project updates
- Review project documentation for completeness, accuracy, and consistency before submission or filing
- Coordinate with internal teams to help ensure project records are current and organized
- Support contract administration and document control as directed by the Project Manager
Site, Safety & Communication Support:
- Assist with collecting and organizing site documentation, photos, inspection records, safety forms, permits, and other project files
- Support communication with field teams to help ensure required documentation is completed and submitted on time
- Assist with tracking deficiencies, corrective actions, outstanding documentation, and project closeout items
- Help ensure project teams have access to current drawings, specifications, addenda, site instructions, and other relevant documents
- Attend site meetings, progress meetings, or internal project meetings as required
- Represent the company professionally when interacting with employees, customers, consultants, subcontractors, suppliers, inspectors, and the public
Required Skills & Qualifications:
- Previous experience in project coordination, construction administration, project administration, civil construction, general contracting, or a related role is considered an asset
- Post-secondary education in construction management, civil engineering technology, project management, business administration, or a related field is considered an asset
- Ability to review, organize, and track construction drawings, specifications, submittals, RFIs, change documentation, and other project records is required.
- Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PDF/document management tools
- Experience with construction/project management software is considered an asset
- Strong written and verbal communication skills
- Strong organizational and time-management skills, with the ability to manage multiple deadlines and priorities
- Strong attention to detail and ability to maintain accurate project records
- Ability to work independently while supporting Project Managers and internal teams
- Valid driver’s licence in good standing is preferred
- Where driving is, or may become, part of the employee’s duties, the employee must maintain a valid driver’s licence in good standing and provide an acceptable driver’s abstract that meets company and insurance requirements
- The company may obtain and review the employee’s driver’s abstract every three months, or as otherwise required
- Reliable, accountable, professional, and able to handle confidential or commercially sensitive information with discretion
