Overview
The Human Resources & Payroll Administrator is responsible for providing administrative support to the People & Culture, Payroll, and Production teams within a fast-paced manufacturing environment. This role supports workforce scheduling, attendance management, payroll administration, employee data management, reporting, and production coordination while ensuring accuracy, confidentiality, and compliance with Company policies and collective agreement requirements.
Human Resources & Administrative Support
- Support day-to-day HR and production administrative functions.
- Maintain employee records and ensure employee information is updated accurately and timely.
- Process new hire information and enter employee data into HRIS, payroll, and timekeeping systems.
- Support onboarding administration and employee documentation.
- Maintain employee attendance records and track attendance-related information.
- Assist with employee communications regarding scheduling, attendance, and payroll inquiries.
- Maintain departmental seniority lists and employee records.
- Provide general administrative support to the People & Culture department.
Payroll Administration
- Review and approve employee timesheets for accuracy and completeness.
- Process payroll-related changes including new hires, terminations, transfers, and employee information updates.
- Support payroll preparation by ensuring attendance, hours worked, overtime, and employee information are accurate.
- Investigate and resolve timekeeping discrepancies.
- Work closely with Payroll to ensure timely and accurate payroll processing.
Scheduling & Workforce Coordination
- Prepare and maintain production schedules for unionized employees.
- Coordinate staffing requirements and scheduling changes with Supervisors.
- Track employee availability, absences, and vacation schedules.
- Support workforce planning and labour allocation activities.
- Communicate daily staffing updates to operational departments.
Reporting & Production Support
- Prepare and distribute daily production turnout reports.
- Maintain labour tracking reports and attendance reports.
- Monitor attendance trends and communicate concerns to management.
- Maintain accurate production and employee-related records.
Other Duties
- Participate in process improvement initiatives related to HR, payroll, and scheduling functions.
- Support special projects and departmental initiatives as required.
- Perform other duties and responsibilities as assigned.
Skills
- Experience working in a manufacturing or food production environment is considered an asset
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Ability to work independently and in a fast-paced environment
- Strong computer skills including Microsoft Office and data entry systems
- Experience with Redzone or learning management systems is considered an asset
- Ability to maintain confidentiality and handle sensitive employee information
- Post secondary degree or diploma in HR is an asset
- Ability to work with various levels of management
- Excellent data entry skills with high accuracy in record keeping
This position requires a proactive individual capable of managing multiple responsibilities efficiently while maintaining attention to detail. Candidates should possess a solid understanding of both human resources practices and payroll administration.
Pay: $42,000.00-$47,000.00 per year
