Overview
We are seeking a highly organized and detail-oriented Office Assistant to join our team. This role offers an opportunity to support daily administrative operations in a professional environment. The ideal candidate will possess strong computer skills, excellent customer service abilities, and experience with office management tools such as QuickBooks, Microsoft Office, and Google Workspace. This position is essential for maintaining smooth office workflows, managing client interactions, and supporting various clerical functions.
Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office and Google Workspace applications
- Maintain organized filing systems both digitally and physically, ensuring easy retrieval of documents
- Assist with bookkeeping and basic accounting tasks using QuickBooks and other financial software
- Support customer service efforts by addressing inquiries, scheduling appointments, and providing support via phone or email
- Handle administrative tasks such as proofreading documents, managing calendars, and coordinating meetings
- Support medical or dental office operations if applicable, including patient check-in/out processes and insurance documentation
- Ensure office supplies are stocked and manage inventory as needed
- Perform general clerical duties such as photocopying, scanning, and faxing documents
Qualifications
- Proven experience in an office environment with familiarity in clerical tasks and administrative support
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets, Calendar), and data entry software like QuickBooks
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Experience with front desk operations, multi-line phone systems, filing systems, and basic bookkeeping is preferred
- Medical or dental office experience is a plus but not required
- Ability to type accurately and quickly while proofreading documents for errors
- Demonstrated ability to handle confidential information discreetly and maintain professionalism at all times
