About the Role
As our Administrative Coordinator, you'll be the organized engine behind our office. You'll keep schedules, communication, paperwork, and hiring running like clockwork, so our caregivers and clients are always looked after. It's a hands-on role with real variety: the phones, the schedule, onboarding, and the day-to-day operations that hold our care together.
This is an existing vacancy. Opulife Home Care does not use artificial intelligence to screen, assess, or select applicants. Every application is read by a real person on our team.
What You Will Be Doing
- Answering phones and monitoring our messaging and email, so families and caregivers always get a quick, warm response
- Building and filling caregiver schedules, coordinating visits, and handling availability and shift-change requests
- Performing data entry and maintaining accurate client and caregiver records
- Setting up new caregiver and client profiles, verifying visits, and tracking caregiver training
- Following up on documentation that is expired or coming due
- Supporting hiring by reviewing caregiver resumes, completing pre-screeners, and booking interviews with the care team
- Managing vacation requests and on-call reminders, ordering and picking up supplies, and keeping the office organized
- Adding warmth where it counts, like sending celebratory cards, and pitching in on projects as we grow
- Other administrative and coordination duties as the team needs them
In short: you'll own the administration and coordination that keeps Opulife running, so nothing slips through the cracks.
What We Are Looking For
- Previous customer service experience, by phone, email, and in person
- Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace
- Strong data-entry skills with high accuracy and attention to detail
- Professional phone etiquette and clear, warm communication
- Strong written and verbal communication skills in English
- Excellent organizational skills and the ability to multitask in a fast-paced environment
- Reliable, punctual, eager to learn, with a positive attitude, comfortable working independently and as part of a team
- A valid driver's licence and access to a vehicle (for the occasional supply run)
- Willingness to complete a criminal background and vulnerable sector check
- Eligible to work in Canada and available full-time, in-person in Woodbridge
A strong asset, but not required: experience in office administration, scheduling, healthcare, or recruiting. If you're earlier in your career but organized, caring, and quick to learn, we genuinely want to hear from you. We'll train you on the rest, including our scheduling software.
