Job Summary
We are seeking a highly organized and proactive Office Administrator / Operations Coordinator to oversee daily administrative functions and support operational efficiency. The ideal candidate will possess strong communication, organizational, and team management skills, with experience in office administration, bookkeeping, and vendor management. This role is essential in ensuring smooth office operations, managing staff, and maintaining effective communication across departments.
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professional phone etiquette
- Oversee administrative tasks such as filing, data entry, and maintaining organized records
- Supervise office staff and coordinate team activities to ensure productivity and adherence to company policies
- Handle human resources functions including onboarding, training & development, and employee record management
- Manage payroll processing using QuickBooks or similar accounting software
- Perform bookkeeping duties, including invoicing, expense tracking, and budget monitoring
- Coordinate vendor relationships and manage procurement of office supplies and services
- Maintain office supplies inventory and ensure equipment functionality
- Support budgeting processes by tracking expenses and preparing reports for management
- Facilitate effective communication between departments to streamline workflows
Skills
- Proven supervising experience with strong team management abilities
- Proficiency in QuickBooks and other accounting or bookkeeping software
- Experience with front desk operations and multi-line phone systems
- Knowledge of human resources processes including onboarding and training
- Strong organizational skills with attention to detail in filing, record keeping, and scheduling
- Excellent communication skills both verbal and written
- Ability to manage vendor relationships effectively
- Familiarity with office experience, clerical tasks, and administrative procedures
- Capable of handling budgeting tasks and expense tracking
- Professional demeanor with good phone etiquette and customer service skills
