JOB SUMMARY:
The Property Management & Leasing Coordinator will work closely with the Commercial Property Manager to help manage the day-to-day building operations, liaise with our commercial tenants and assist with the administration of capital projects, tenant rent arrears and tenant improvements.
The coordinator also supports the Leasing Manager with commercial leasing administration, including lease documentation, renewals and tenant move-ins, and provides backup coverage for leasing functions when the Leasing Manager is away. You are a self-starter who takes initiative and is proactive on tasks assigned and beyond. You are a people person who can provide exceptional customer service.
At all times, being guided by the Porte Promises, the Property Management & Leasing Coordinator must be able to work independently and as part of a team.
JOB DUTIES:
Property Management
· Support the Commercial Property Manager and their administrative functions associated with the position
· Respond to tenant inquiries by phone and email
· Coordinate maintenance repairs with onsite staff and suppliers, including going out to sites to meet with trades and tenants if required
· Track and schedule regular maintenance requests on our online portal
· Maintain the database for maintenance and warranty information
· Track statutory life-safety and building compliance items (annual fire-safety plan, fire alarm and sprinkler testing, and elevator inspections) and their renewal dates
· Approve and code invoices for work performed by outside suppliers up to a delegated spending-authority limit, referring higher-value invoices to the Property Manager for approval
· Participate in the preparation and distribution of month-end reporting
· Draft letters and other correspondence to tenants and suppliers
· Assist with the annual budgeting process for all commercial properties
· Assist with year-end operating cost (CAM) and property tax recovery reconciliations and the preparation of tenant recovery statements
· Assist the Property Manager and Project Manager in planning and executing larger Landlord Projects and Tenant Improvements, including assisting with permit applications
· Assist in arranging property appraisal and refinancing tours, collect estoppels from tenants and handle other insurance and refinancing-related matters
· Assist with coordinating move-in and move-out walkthroughs, as well as pre-move-out inspections, to ensure units match the available plans and tenants are aware of their move-out obligations and required scope of work.
· Collect and manage the database for insurance certificates for tenants and trades, along with WorkSafeBC (WCB) clearance letters for contractors
· Assist the accounting team with tenant rent arrears
Leasing Support
·Maintain and update the database of commercial lease expirations
· Prepare, review and edit lease agreements, lease extension agreements, amendments, renewal letters and related documents as required
· Summarize relevant lease provisions and produce summary spreadsheets
· Support the renewal process for existing and new commercial tenants
· Liaise with third-party leasing agents and prospective tenants to support new lease deals
· Conduct tenant credit checks and prepare financial summaries for prospective lease deals for the Leasing Manager’s review
· Coordinate new tenant onboarding and welcome, working with the Property Manager on move-in logistics
· Provide backup coverage for leasing functions during the Leasing Manager’s absences, within established parameters; lease terms and rates remain subject to management approval
QUALIFICATIONS:
·2+ years of similar experience in a property management, leasing or real estate administration role
·Post-secondary education in real estate or business studies is an asset
·Experience preparing or administering commercial lease documents is an asset
· A real estate licence is not required for this role (the coordinator provides these services solely for Porte-owned properties as a direct employee)
· Experience using Yardi or other property management software is preferred
· Strong interpersonal and communication skills with a customer service orientation
·Strong organizational skills
·Strong computer skills, including MS Office
COMPENSATION:
- Salary Range: $68,000.00 - $78,000.00
- Paid time off
Pay: $68,000.00-$78,000.00 per year
