Eatfit Co. is seeking a reliable and highly organized Kitchen Compliance & Operations Coordinator to help bring our commercial kitchen into full compliance and keep the approval process moving forward.
Our Coquitlam location was previously approved for bakery use. The business later expanded into prepared-meal production, and additional commercial kitchen and ventilation equipment was installed. We are now working to complete the proper approval and inspection process with the City of Coquitlam, Fraser Health, the Fire Department, Technical Safety BC, contractors, and other qualified professionals.
This is an ongoing, part-time role. The immediate priority is kitchen compliance, permit coordination, document organization, inspections, and contractor follow-up. Once the compliance process is further advanced, the role will continue to support general kitchen operations and limited business-growth activities.
The position can be performed remotely, but occasional kitchen visits will be required for inspections, contractor meetings, document reviews, and operational matters.
Responsibilities
- Maintain a clear compliance checklist, timeline, and outstanding-action list.
- Review and organize correspondence, inspection requirements, equipment information, floor plans, sanitation plans, contractor documents, and service records.
- Communicate and follow up with Fraser Health, the City of Coquitlam, the Fire Department, Technical Safety BC, contractors, consultants, engineers, and inspectors.
- Confirm what permits, inspections, reports, drawings, professional letters, and corrective work are required.
- Schedule and coordinate site visits, inspections, contractor appointments, and document submissions.
- Help coordinate requirements involving the exhaust hood, ventilation, fire suppression, grease interceptor, plumbing, gas, electrical systems, and kitchen equipment.
- Obtain quotes and coordinate licensed trades or qualified professionals where required.
- Track deficiencies and follow up until outstanding items are completed.
- Organize inspection reports, servicing records, invoices, equipment specifications, cleaning records, food-safety documents, and sanitation documentation.
- Help prepare the final documentation package required for Fraser Health inspection readiness.
- Maintain organized electronic folders and records for all compliance-related documents.
- Provide ownership with a written weekly update covering completed work, outstanding items, deadlines, and next steps.
- Refer engineering, construction-code, legal, or technical safety questions to the appropriate qualified professional.
- Assist with general kitchen administration, supplier coordination, operating checklists, and process improvements.
- Provide limited support with customer communication, social media updates, promotions, or business outreach when required.
Qualifications
- Experience in compliance administration, permitting, project coordination, construction coordination, hospitality, restaurant operations, food service, or a related field.
- Strong organizational, written communication, and follow-up skills.
- Comfortable communicating professionally with government departments, inspectors, contractors, consultants, and business owners.
- Able to manage multiple documents, deadlines, appointments, and action items.
- Experience with commercial kitchens, food premises, tenant improvements, municipal permits, Fraser Health, or inspection coordination is strongly preferred.
- Familiarity with Google Workspace, Microsoft Office, shared folders, spreadsheets, and project-tracking tools.
- Able to work independently and provide consistent progress updates.
- Basic experience with social media, customer communication, or business outreach is an asset but not the primary focus of the position.
Requirements
- Available for 10–15 hours per week.
- Located within reasonable travelling distance of Coquitlam.
- Available for occasional daytime kitchen visits, inspections, and contractor meetings.
- Must have a computer, phone, and reliable internet connection.
- Must be dependable, proactive, and comfortable taking ownership of follow-ups.
- Must be able to provide clear written updates each week.
Permit fees, engineering fees, drawings, trade work, contractor costs, inspection fees, and correction costs will be paid separately by ownership.
