Note: The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.
Job Overview:
- The Facility Administrator is responsible for supporting the Workplace Services Supervisor in the delivery of workplace and facilities services across Enbridge's office locations. This role plays a key part in the development, implementation, and continuous improvement of Workplace Services processes and procedures while collaborating closely with the Real Estate and Workplace Services team.

The successful candidate will exercise sound judgment, critical thinking, and problem-solving skills when addressing both routine and non-routine workplace, facilities, and operational matters. This position contributes to creating and maintaining a safe, functional, efficient, and employee-focused workplace environment.
Key Responsibilities:
- Provide workplace services that support business operations, employee needs, and departmental initiatives while ensuring a safe, healthy, and functional work environment.

Manage Workplace Services financial administration activities, including invoice coding, journal transfers, accruals, and accounts receivable submissions.

Coordinate and oversee vendor relationships and service delivery for workplace amenities and services, including mail and courier services, catering and food services, distributed printing, and central reproduction services.

Monitor, triage, and manage Workplace Services and Real Estate ticket requests through the ServiceNow platform, ensuring timely and effective resolution.

Plan, coordinate, communicate, and execute employee relocations, including individual moves, group moves, office restacks, and workspace reassignments.

Support the facilitation and operational readiness of meeting rooms, collaboration spaces, and dynamic work environments.

Assist in coordinating workspace requirements and occupancy planning for special projects and temporary team assignments.

Manage artwork inventories, including sourcing, purchasing, placement, tracking, and ongoing asset management.

Participate in Environment, Health and Safety (EHS) initiatives, sustainability programs, and other workplace and facility-related projects.

Provide support during emergencies and incident response activities, including electrical, security, life safety, fire, and building-related events.

Assist in preparing and delivering workplace communications to employees and stakeholders regarding Real Estate and Workplace Services initiatives, programs, and updates.

Review and edit communication content and help determine appropriate audiences and timing for Workplace Services communications and announcements.

Maintain workplace documentation and administrative records through systems such as eLink and SharePoint, including the posting and management of regulatory licenses and compliance documentation.

Support, train, and guide E-Zone Concierge staff to ensure consistent service delivery and operational effectiveness.

Assist with ergonomic assessments and workplace accommodation initiatives as required.

Coordinate floor decommissioning activities, workspace preparations, and related workplace projects.

Provide support to other facilities and office locations as required.

Perform additional duties and special projects as assigned by leadership.

Support Workplace Services operations across Enbridge's office locations while learning and collaborating with a diverse Workplace Services team.

Contribute to workplace operational excellence through proactive problem-solving, customer-focused service delivery, and continuous improvement initiatives.
Working Relationships:

External service providers and vendors responsible for workplace, facilities, and building services.

Workplace Services Supervisor and the broader Real Estate and Workplace Services team.

Corporate Services functions including Technology and Information Services (TIS), Supply Chain Management (SCM), Security, Legal, Health and Safety, and Executive Leadership.

Employees, leaders, contractors, consultants, and visitors across all office locations.
Qualifications:
Required
-
University degree, technical diploma, or related post-secondary education in a relevant field, or an equivalent combination of education, certifications, and directly related experience.

Minimum five (5) years of experience in a business, workplace, facilities, property management, or related environment.

At least one (1) year of facilities management or property management experience.

Strong customer service orientation with exceptional relationship-building and interpersonal skills.

Demonstrated adaptability, flexibility, and ability to work effectively in a dynamic environment.

Ability to maintain a high degree of confidentiality, professionalism, and independent judgment.

Excellent written, verbal, and interpersonal communication skills.

Strong critical thinking, analytical, and problem-solving capabilities.

Proficiency in Microsoft Office applications, particularly Word and Excel.

Strong organizational skills with the ability to manage multiple priorities and deadlines.
Preferred
-
Office administration, office management, workplace services, or facilities management experience.

Professional certifications such as RPA (Real Property Administrator), FMA (Facilities Management Administrator), PMP (Project Management Professional), or CPM (Certified Property Manager).

Experience with Oracle Financial systems.

Experience supporting workplace planning, occupancy management, or corporate office operations.
