Horizon Contracting Inc. is a growing contracting business proudly serving condominium corporations and property managers across the region. We specialize in high-quality maintenance, repairs, and improvement projects that keep residential and commercial properties running smoothly. As we expand our team, we are looking for a reliable, organized, and people-focused Administrative Assistant / HR & Office Coordinator to help keep everything running efficiently behind the scenes.
Role Overview: You will be the backbone of our office operations, supporting day-to-day administration, basic HR functions, and coordination with clients, crews, and vendors. This is a versatile role perfect for someone who enjoys variety, takes initiative, and wants to grow with a small but ambitious company.
Key Responsibilities
- Provide administrative and secretarial support to the owner and field teams (scheduling, correspondence, filing, data entry)
- Assist with HR tasks: onboarding new crew members, maintaining employee records, benefits coordination, and time/attendance tracking
- Manage office communications, respond to client and vendor inquiries, and maintain organized digital and physical records
- Help prepare quotes, invoices, purchase orders, and maintenance contracts
- Coordinate crew schedules, job calendars, and material orders
- Handle general office tasks and special projects as needed
What We’re Looking For
- 2+ years of experience in administrative, office coordination, or HR support roles (construction/trades industry experience is a strong asset)
- Strong organizational and multitasking skills with excellent attention to detail
- Proficient in Microsoft Office (Word, Excel) and comfortable learning new tools
- Professional communication skills – both written and verbal
- Reliable, positive attitude, and ability to work independently in a fast-paced environment
- Valid driver’s license and access to a reliable vehicle is preferred (for occasional site visits or errands)
- Experience with QuickBooks, job management software, or HRIS systems is a plus
