Job Summary
We are looking for a reliable, detail-oriented team member to fill a dedicated, permanent part-time bookkeeping role (approximately 16 hours per week). Working directly with our Controller, you'll provide steady day-to-day support across multiple active QuickBooks entities — handling AP/AR, assisting with full-cycle bookkeeping, and helping keep our financial reporting accurate and on time. This position is ideal for someone who values a steady, predictable part-time schedule and takes genuine pride in tidy, accurate books. The role is 95% remote; we're seeking candidates in the Greater Toronto Area, as initial training will involve some in-person meetings.
Duties
Accounting & QuickBooks
- Perform AP/AR data entry.
- Assist the Controller with full-cycle bookkeeping across multiple active QuickBooks entities.
- Assist the Controller in posting journal entries and reconciling accounts.
- Enter high-level sales data from internal invoicing systems (detailed records remain in the internal system).
Payroll
- Accept training to become capable of processing and managing payroll across all active entities, ensuring compliance with federal and provincial regulations.
Accounts Receivable & Invoicing
- Support customer invoicing and reconciliation, including A/R follow-ups and creating interest invoices.
Reporting & Analysis
- Assist the Controller with cash flow forecasting and variance analysis.
- Assist the Controller in preparing financial reports, summaries, and dashboards for leadership.
- Assist the Controller in preparing ad hoc reports and financial insights to support strategic decision-making.
- Work closely with the Contracts Manager to ensure financial reports align with operational reality.
Process & Coordination
- Identify opportunities to streamline workflows and improve automation across entities.
- Coordinate with the Controller and external accountants for year-end reviews and tax filings.
- Take on ad hoc project work as needed.
Experience
- 2+ years of full-cycle bookkeeping experience.
- Strong proficiency in QuickBooks Desktop and QuickBooks Online (QBO).
- Direct experience with multi-entity bookkeeping is a must.
- A clear comprehension of AP/AR urgency and cadence.
- Experience managing payroll, including compliance with federal and provincial regulations.
- Comfortable working with high-level summaries and diving into granular transaction reviews when needed.
- Strong Excel skills.
- Strong organizational and time-management skills, with the ability to prioritize across multiple entities.
- High attention to detail and an accountability mindset.
