TESA Group is seeking an experienced Project Coordinator / Project Accountant to support our residential development and construction projects across Metro Vancouver.
This is a hands-on role combining project coordination, construction accounting, cost tracking, administration, and warranty coordination. The ideal candidate has previous experience working on condominium or multifamily residential construction projects and understands the full project cycle from construction through completion and warranty.
ResponsibilitiesProject Coordination
- Assist with day-to-day coordination of condominium, townhouse, and residential development projects.
- Coordinate with consultants, contractors, trades, suppliers, and internal team members.
- Track contracts, purchase orders, change orders, invoices, deficiencies, and project documentation.
- Maintain project files, schedules, consultant reports, permits, and key project records.
- Follow up with trades and consultants on outstanding items and deadlines.
- Assist with project close-out, occupancy, turnover, and deficiency management.
Invoices, Bookkeeping & Project Cost Administration
- Enter, code, and manage invoices in Xero or QuickBooks.
- Maintain accurate vendor and project expense records.
- Reconcile bank accounts, credit cards, and supplier statements.
- Track project costs against budgets.
- Track contracts, purchase orders, change orders, deposits, holdbacks, and outstanding invoices.
- Prepare and organize payments for approval.
- Maintain Accounts Payable and follow up on discrepancies.
- Assist with construction draw documentation and project cost reporting.
- Maintain organized supporting documentation for all project expenses.
- Work with management and the external accountant/bookkeeper as required.
Warranty & Homeowner Coordination
- Manage homeowner warranty requests and deficiencies following project completion.
- Act as a point of contact for homeowners regarding warranty items.
- Review, log, and track warranty claims through completion.
- Coordinate trades for inspections and repairs.
- Follow up with trades and homeowners to ensure deficiencies are resolved.
- Maintain complete records of warranty claims, correspondence, photos, and completed repairs.
- Coordinate 1-year warranty reviews and assist with 2-5-10 Home Warranty requirements.
- Coordinate with strata representatives, consultants, and warranty providers when required.
Requirements
Must Have:
- 3+ years of experience in construction project coordination, project admin, or a similar role.
- Previous experience working on single or multifamily residential construction projects.
- Experience with construction accounting, invoices, budgets, change orders, and cost tracking.
- Strong understanding of construction terminology and the project lifecycle.
- Strong organizational and follow-up skills.
- Excellent written and verbal communication skills.
- Strong Excel and Microsoft Office skills.
- Ability to independently manage multiple priorities and deadlines.
Preferred:
- Experience working for a residential developer or general contractor.
- Experience with BC's 2-5-10 Home Warranty program.
- Experience coordinating homeowner deficiencies and warranty claims.
- Familiarity with construction/project management or accounting software.
- Basic understanding of development financing, progress draws, holdbacks, and construction contracts.
Ideal Candidate
We are looking for someone who is highly organized, numbers-oriented, proactive, and comfortable following up with people.
This person should be equally comfortable reviewing a project cost report, following up on an unpaid invoice, coordinating a consultant, or arranging for a trade to attend a homeowner warranty issue.
