Position Overview:
The Shipping & Logistics Assistant provides essential support in managing the shipping, receiving, and distribution of pharmaceutical products. This role ensures timely and accurate order fulfillment, maintains inventory accuracy, and upholds compliance with shipping regulations. The Shipping & Logistics Assistant plays a crucial role in ensuring smooth operations and excellent service for our customers and partners.
Key Responsibilities:
1 – Order Processing & Fulfillment:
- Accurately pick, pack, and prepare customer orders for shipment.
- Verify orders against invoices and prescriptions before dispatch.
- Ensure packaging is secure and compliant with pharmacy and shipping regulations.
- Process shipping labels and coordinate with courier services for timely deliveries.
2- Shipping & Receiving:
- Receive incoming shipments, inspect for accuracy and condition, and document any discrepancies.
- Track shipments and resolve delivery issues with carriers.
- Maintain an organized shipping and receiving area to ensure efficiency.
3 – ESA Inventory Management:
- Assist in maintaining accurate ESA inventory records through proper documentation and system updates.
- Monitor stock levels and report shortages or discrepancies.
- Rotate inventory to prevent expired or outdated stock.
4 – Compliance & Safety:
- Adhere to all pharmacy regulations, shipping requirements, and safety guidelines.
- Follow proper handling procedures for sensitive and temperature-controlled medications.
- Maintain patient confidentiality and ensure secure transportation of medical products.
5 – Administrative Support:
- Maintain accurate shipping records and documentation.
- Assist with filing invoices, tracking shipments, and coordinating returns.
- Support the pharmacy team with other administrative tasks as needed.
6 – Customer Service:
- Communicate with customers regarding order status, shipping times, and tracking information.
- Address shipping-related inquiries in a professional and efficient manner.
- Provide support to pharmacy staff and customers to ensure seamless order fulfillment.
Qualifications and Skills:
- Strong attention to detail and accuracy in order processing.
- Excellent organizational and time-management skills.
- Ability to work efficiently in a fast-paced environment.
- Proficiency with shipping software and inventory management systems.
- Basic knowledge of pharmaceutical handling and compliance is an asset.
- Effective communication and problem-solving skills.
- Willingness to work flexible hours, including weekends if required.
