POSITION SUMMARY
The Eye Clinic is seeking a highly organized, collaborative, and proactive Manager, Clinic Operations & People to oversee the day-to-day administrative, operational, financial, and human resources functions of our busy ophthalmology practice.
This is a dynamic leadership role requiring exceptional organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced clinical environment. The successful candidate will serve as the primary operational and people leader, supporting physicians, staff, learners, researchers, and patients while ensuring the efficient delivery of high-quality care.
RESPONSIBILITIES
- Provide overall leadership for the day-to-day operations of the Eye Clinic, ensuring efficient workflows, exceptional patient service, and a collaborative, high-performing team environment.
- Lead all people management functions, including recruitment, onboarding, orientation, performance management, employee relations, coaching, payroll administration, attendance management, offboarding, and employee engagement initiatives.
- Develop, coordinate, and manage physician, staff, clinic, and exam lane schedules to ensure appropriate clinical coverage and efficient use of clinic resources.
- Serve as the primary point of contact for physicians, staff, learners, researchers, and external stakeholders by responding to operational concerns, resolving issues, and supporting the delivery of high-quality patient care.
- Manage patient relations by responding to patient concerns, complaints, and service recovery situations with professionalism, discretion, and compassion.
- Oversee departmental financial operations, including payroll processing, operating and capital budget preparation and monitoring, cost centre reconciliations, invoice processing, financial reporting, and annual tax documentation.
- Coordinate physician onboarding, credentialing, temporary privileges, BlueCross enrolment, and administrative requirements while supporting fellows, residents, research students, and educational initiatives.
- Plan, organize, and support departmental meetings, physician meetings, educational programs, and hospital committees by coordinating logistics, preparing agendas, recording minutes, and tracking action items.
- Maintain and continuously improve clinic policies, procedures, operational processes, and compliance with hospital and organizational standards while ensuring accurate documentation and record keeping.
- Oversee the procurement, maintenance, and repair of clinical equipment and supplies, ensuring the clinic remains fully operational and compliant with safety standards.
- Develop, maintain, and analyze operational reports, dashboards, trackers, and performance metrics to support informed decision-making and continuous quality improvement.
- Provide executive-level administrative support to the clinical leadership team by managing calendars, coordinating meetings, responding to urgent requests, maintaining confidential records, and supporting strategic initiatives and special projects.
- Foster a respectful, inclusive, and positive workplace culture by promoting teamwork, accountability, employee recognition, and a commitment to continuous improvement and exceptional patient care.
- Demonstrate flexibility in scheduling within clinic operating hours (7:30 a.m. – 6:00 p.m.) to support operational needs and provide senior administrative coverage.
- Perform other related administrative duties as required to support the effective functioning of the department.
QUALIFICATIONS
- Bachelor's degree in Business Administration, Human Resources, Healthcare Administration, or a related field preferred.
- Minimum 5 years of managerial experience in healthcare, medical practice management, or clinic operations.
- Previous supervisory or people management experience required.
- Experience with payroll administration (Dayforce experience considered an asset).
- Experience managing budgets and financial reporting.
- Strong knowledge of employment legislation and HR best practices.
- Excellent interpersonal, conflict resolution, and communication skills.
- Exceptional organizational skills with the ability to prioritize competing demands.
- Proficiency with Microsoft Office Suite, particularly Excel.
- Experience working in a hospital, ambulatory clinic, or academic healthcare environment is considered an asset.
