About the Role
The Customer Service Coordinator is responsible for supporting the day-to-day order management process by entering, reviewing, and maintaining customer orders with a high level of accuracy. This role helps ensure customer purchase orders are entered correctly and shipped on time and in full. By guaranteeing that information flows smoothly between customers, sales, order management, supply chain, and production teams.
The Customer Service Coordinator plays an important role in keeping orders organized, accurate, and moving through the system in a timely manner. This position requires strong attention to detail, clear communication, follow-through, and a proactive mindset focused on improving processes, finding efficiencies, and supporting overall business and customer satisfaction.
Key Responsibilities
Order Entry & Administration
- Enter customer purchase orders into the ERP system accurately and in a timely manner.
- Review purchase orders for completeness, including pricing, quantities, part numbers, product details, shipping information, and required documentation.
- Confirm that order information aligns with customer requirements, quotes, and internal order standards.
- Maintain accurate and up-to-date order records, notes, and supporting documentation in the system.
- Identify missing or unclear information and follow up with the appropriate internal or external contact to resolve issues before orders move forward.
Customer & Internal Communication
- Respond to customer and internal inquiries related to order status, order details, product availability, and delivery timelines for orders entered by this role.
- Provide clear and timely updates when clarification, documentation, or additional information is required.
- Communicate order issues, discrepancies, or delays to the appropriate team members to support quick resolution.
- Support Sales, Order Management, Production, Supply Chain, and Customer Service teams by keeping order information accurate and visible.
Order Coordination & Follow-Up
- Monitor entered orders to ensure required information is complete and ready for the next stage of the process.
- Support order allocation, scheduling, and release activities by ensuring system information is accurate and current.
- Coordinate with Supply Chain, Procurement, and Production when material availability, capacity, or order timing requires follow-up.
- Assist with resolving order discrepancies, including pricing differences, quantity issues, configuration questions, and documentation gaps.
Process Improvement & Business Support
- Look for opportunities to improve order entry accuracy, reduce rework, and create efficiencies in the order management process.
- Follow standard work, checklists, and documented procedures to support consistency and accuracy.
- Bring forward recurring issues, process gaps, or improvement ideas to help strengthen the overall order flow.
- Support a customer-focused and business-focused approach by helping orders move through the process efficiently and accurately.
What You Bring
- Experience in order entry, customer service, order management, sales administration, or a similar administrative role.
- Strong attention to detail and ability to enter and review information accurately.
- Previous experience working with ERP systems and maintaining accurate digital records.
- Good communication skills with customers, internal teams, and cross-functional departments.
- Fluent in English
- Ability to follow processes while also identifying opportunities to improve them.
- Strong organization, follow-up, and time management skills.
- Proactive mindset with a focus on accuracy, efficiency, customer satisfaction, and business support.
- Manufacturing experience is a must.

Pay: $60,000.00-$65,000.00 per year
