Icon Energy Services Ltd. provides industry-leading engineering, inspection, and manufacturing services. Our team of professionals include our own in-house Engineers, Draftsman, Journeyman Welders and Machinists, Pressure Testing, NDT Inspection, and Finishing Technicians. Our services cover a wide variety of projects, and we are in need of a highly organized and experienced individual who can work in a fast paced environment.
We are seeking an Administrative Assistant to join our team.
DUTIES & RESPONSIBILITIES:
This position provides administrative support to the accounting and operations functions, including but not limited to:
- Answer incoming calls and greet visitors
- Monitor company email accounts for vendor and customer inquiries and requests
- Monitor and place office supply orders when needed
- Maintain accurate customer records & billing requirements, and file electronic and paper copies of documents as required
- Complete and return miscellaneous documentation to customers and vendors, such as on-boarding documents, customer EFT payment information, credit applications, WCB, and insurance COI, etc. as required
- Match vendor invoices to purchase orders and packing slips, and enter vendor invoices and employee expense reports into the system
- Reconcile monthly credit card and vendor statements and process outstanding transactions
- Prepare and email out daily deposit reports to the management team
EDUCATION AND WORK EXPERIENCE:
- Minimum of 2 years direct work-related experience in an Administrative field, preferably in the oil & gas sector
REQUIRED SKILLS AND ABILITIES
- Proficient in Microsoft office products such as Excel, Word, and Outlook
- Experience in Microsoft Dynamics 365 Business Central would be an asset
- Basic accounting knowledge would be an asset
- Accurate data entry skills with high degree of accuracy and attention to detail
- Exhibit excellent written and verbal communication skills
