Job Description – Corporate Administration Coordinator
Position Overview
The Corporate Administration Coordinator provides administrative support to A1 Accounting.
Group LLP and its clients, with a primary focus on corporate client setup, CRA account administration and follow-up, client communication, deadline tracking, file maintenance, and administrative support for our engagements.
This position works closely with the accounting and tax staff to ensure client files are organized, required information and documentation are obtained, deadlines are monitored, and work flows efficiently from initial setup through completion.
Qualifications
Minimum of Grade 12 or equivalent; preference to technical school graduate.
Previous experience in an accounting or professional services environment is preferred.
Proficiency in the English language.
Strong computer skills, including Microsoft Office.
Ability to learn and use accounting and office software, including TaxCycle, TaxFolder,
QuickBooks, Wrike and CaseWare.
Strong attention to detail and organizational skills.
Ability to work independently and prioritize multiple tasks and deadlines.
Good telephone and written communication skills.
Strong interpersonal and client service skills.
Basic understanding of Canadian tax and accounting systems.
Ability to maintain confidentiality and handle sensitive client information.
Ability to recognize when a matter should be referred to an accountant or manager.
Duties & Responsibilities
Set up new corporate clients, including client data sheets, electronic client folders, Wrike,
accounting software and required client documentation.
Obtain and maintain corporate information, shareholder information and other required
client documentation.
Send previous accountant letters and other required correspondence to new corporate
clients.
Prepare and send CRA business authorizations and shareholder authorizations and follow
up on client approvals.
Set up and maintain CRA program accounts as directed, including GST/HST, payroll and
corporate income tax accounts.
Coordinate CRA account changes, registrations, closures, filing-period changes and
backdating requests as required.
Contact CRA on behalf of clients when authorized and maintain detailed notes of
conversations, reference numbers and required follow-up.
Follow up on CRA correspondence, requests and outstanding items.
Coordinate and maintain GST, PST, LCT, VPT and other applicable government accounts
as directed.
Monitor CRA, GST, PST and other filing deadlines and follow up with clients and staff to
ensure requirements are completed on time.
Respond to client emails and telephone inquiries and direct technical or accounting
questions to the appropriate staff member.
Follow up with clients to obtain missing information, documents, signatures,
authorizations and approvals.
Monitor intake emails and Wrike tasks and ensure requests are directed to the appropriate
staff member.
Maintain accurate and timely Wrike notes regarding client communication, documents
received, documents requested, telephone calls and other relevant activity.
Maintain accurate client information in A1 Accounting Group LLP systems, including
QuickBooks and Wrike.
Enter and maintain Sales Orders and corresponding Wrike tasks for required filings and
services.
Enter detailed and accurate time entries into A1 Accounting Group LLP's accounting
system.
E-file tax returns using TaxCycle as directed.
Scan, save and organize client and office documents in the appropriate electronic files.
Assist with the administrative preparation of engagements.
Obtain required information and documentation for files and follow up on outstanding
items.
Prepare and organize documentation and client packages as directed by the responsible
accountant, including applicable engagement letters, adjusting journal entries, trial
balances, T183s and other required documents.
Assist with ensuring required administrative documentation is complete and organized in
accordance with A1 Accounting Group LLP procedures and applicable CPA compilation
standards, where required.
Identify missing or incomplete information and bring it to the attention of the responsible
accountant or manager.
Assist with client intake and monthly follow-up for year ends and filings due.
Maintain accurate and organized client files.
Assist with maintaining accurate and efficient corporate workflow and identifying
outstanding or delayed items.
Assist with improving administrative procedures, checklists and workflows as required.
Maintain confidentiality of all clients and company information.
Perform other related duties as delegated to meet the ongoing needs of the company.

The Corporate Administration Coordinator provides administrative support to accounting and compilation engagements. This position is not responsible for accounting judgments, tax advice, professional conclusions or other matters requiring the professional judgment of the responsible accountant.
Matters involving accounting treatment, tax advice, professional standards or other technical issues are to be referred to the appropriate accountant or manager.
General Expectations
The employee is expected to work independently, maintain accurate records, proactively follow up on outstanding items, meet established deadlines, communicate professionally with clients and staff, and contribute to an organized and efficient workflow.
The employee is also expected to ask questions when instructions are unclear and escalate issues appropriately rather than making assumptions or providing professional advice outside the scope of the position.

Pay: $23.00-$25.00 per hour
Expected hours: 35.0 – 40.0 per week
