Job Summary
We are seeking an organized and detail-oriented front desk receptionist / Scheduler/ Dispatch to join our administrative team. The ideal candidate will be responsible for coordinating appointments, managing schedules, and ensuring smooth communication across departments. This role requires strong organizational skills, proficiency with office software, and excellent customer service abilities to support our daily operations efficiently.
Duties
- Create, update, and manage appointment schedules using scheduling software and Microsoft Office tools.
- Coordinate with staff and clients to confirm appointments and reschedule as needed.
- Schedule and dispatch installation crews.
- Maintain accurate records through data entry and filing systems, including digital and physical files.
- Handle incoming calls via multi-line phone systems, providing professional customer support and front desk assistance.
- Manage correspondence, emails, and messages using Google Workspace and other office applications.
- Assist with clerical tasks such as proofreading documents, maintaining calendars, and organizing meetings.
- Support bookkeeping activities using QuickBooks or similar accounting software.
- Ensure timely follow-up on appointments or client inquiries to enhance customer satisfaction.
- Perform general administrative duties including filing, data entry, and maintaining office supplies.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with QuickBooks or other bookkeeping software is preferred.
- Strong data entry skills with high accuracy and attention to detail.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Exceptional phone etiquette and customer service skills, especially in handling multi-line phone systems.
- Ability to proofread documents for accuracy and professionalism.
- Familiarity with office procedures such as filing, scheduling, and administrative support tasks.

Job Types: Full-time, Permanent
Pay: $42,000.00-$45,000.00 per year
