KEY RESPONSIBILITIES
Reception & Communication
- Answer all incoming calls.
- Greet visitors warmly and keep the reception area tidy.
Accounting & Finance
- Prepare monthly working papers
- Manage full-cycle accounting
- File GST, WCB, and source deductions; support year-end activities.
Digital & Records Management
- Maintain the shared drive
- Keep electronic and hard-copy records organized and audit-ready.
Sales & Customer Support
- Create quotes, presentations, and bid packages.
- Submit accurate FSOs to customers and track post-job feedback surveys.
HSE Administration
- Compile and organize documentation for safety audits.
- Review field safety documents and upload updates to customer safety portals.
Office & Facilities
- Order office supplies, coordinate couriers, and arrange travel and accommodations.
- Administer employee benefits and schedule office equipment service.
- Oversee fleet compliance (insurance, registrations, IFTA/IRP, fuel-tax filings).
WHAT YOU BRING
- 3+ years of office-management, senior admin, or bookkeeping experience (oilfield or industrial preferred).
- Working knowledge of QuickBooks (or similar) plus MS Excel, Word, and Outlook.
- Proven ability to issue accurate invoices and financial reports on schedule.
- Skill in improving workflows and controlling costs.
- Clear, professional verbal and written communication.
- Strong organization and attention to detail.
ASSETS WE APPRECIATE
- Payroll, bookkeeping and Accounting
- Familiarity with HSE portals (ISNetworld, Avetta) or audit preparation.
- Experience with IFTA/IRP or fleet-tax filings.
SUCCESS IN THIS ROLE LOOKS LIKE
- Invoices issued promptly with minimal discrepancies.
- Month-end financial package prepared on time and to a high standard.
- Accounts-receivable balances kept current; supplier discounts captured.
- Safety documents uploaded quickly; audits completed smoothly.
- Ongoing identification of practical process improvements.
