The Opportunity:
We are seeking an experienced individual to join our team as a Shipping Coordinator in Toronto. Reporting to the Chief Operations Officer, the Shipping Coordinator is responsible for coordinating and overseeing the day-to-day shipping activities of the company to ensure orders are prepared, documented, scheduled, and delivered accurately and on time. This role works closely with production, purchasing, sales, warehouse, and customers to coordinate shipments and resolve any delivery-related issues.
Responsibilities:
Shipping Coordination:
· Coordinate daily outbound shipments, including domestic and international orders.
· Schedule shipments with freight carriers, couriers and transportation providers.
· Determine appropriate shipping methods based on order requirements, destination, timing and cost.
· Prepare and process shipping documentation, including packing slips, bills of landing, commercial invoices and other required documents.
· Verify shipping information, quantities, product details, addresses and customer requirements prior to shipment.
· Coordinate the pickup and delivery of completed orders with carriers and customers.
· Monitor shipments from dispatch through delivery and provide updates as required.
· Track shipments and proactively address delays, damages, or delivery issues.
· Coordinate special or expedited shipments when required.
Warehouse & Production Coordination:
· Communicate with production and warehouse personnel regarding order completion and shipment readiness.
· Confirm that products are properly packaged, labelled, and secured prior to shipment.
· Coordinate shipment priorities based on customer deadlines and production schedules.
· Assist with organizing and maintaining shipping areas to ensure efficient workflow.
· Identify and report discrepancies, shortages, damages, or other issues affecting shipments.
Documentation & System Administration:
· Enter and maintain accurate shipping information in the company’s ERP/accounting or shipping systems.
· Generate shipping labels, documentation and reports.
· Maintain accurate records of shipments, freight costs, tracking information, and delivery confirmations.
· Maintain organized records of shipping documentation and carrier information.
· Assist with preparing customs documentation for international shipments.
Customer & Internal Communication:
· Communicate with customers regarding shipment schedules, tracking information, delivery requirements and potential delays.
· Respond promptly to shipping-related inquiries from customers and internal departments.
· Work closely with Sales, Customer Service, Production, Purchasing and Accounting to coordinate order fulfilment.
· Maintain professional relationships with carriers, freight companies and logistics providers.
Qualifications:
· 2+ years of experience in shipping, logistics, transportation, warehouse coordination, or a related role.
· Experience in a manufacturing or distribution environment is considered an asset.
· Strong organizational and time-management skills.
· Excellent attention to detail and accuracy.
· Strong written and verbal communication skills.
· Ability to prioritize and manage multiple shipments and deadlines simultaneously.
· Proficiency with Microsoft Office, particularly Excel and Outlook.
· Experience working with ERP, inventory management or shipping software is an asset.
· Knowledge of domestic and international shipping requirements is an asset.
· Experience preparing customs documentation is an asset.
· Ability to work effectively with cross-functional teams.

Pay: $45,000.00-$55,000.00 per year
