Summary
The Health and Safety Administrative Assistant will offer support, help develop and implement safety training for new employees, produce reports, maintain training software and coordinate training sessions.
Responsibilities
- Act as office support for Health and Safety Lead by maintaining document control.
- Coordinate with health and safety field advisor for certification audits, employee training, job preparation and client communications.
- Promote Occupational Health and Safety within the organization and develop a safer work environment.
- Identify deficiency’s in internal systems or practices and report to Health and Safety Lead.
- Contribute direct knowledge of health and safety programs to ensure improvement.
- Carryout monthly office and shop inspections and follow up with action items and hazards.
- Maintain health and safety policies and update as required.
- Submit Lenel and Vehicle Pass requests to client and coordinate employees for pick-up/certification.
- Identify employee training requirements (both health and safety, and site specific) and schedule sessions.
- Responsible for data input, and document control for all safety training, tickets and documents for quality control by utilizing existing software training program.
- Create, update and maintain various company/customer matrix files for tracking purposes.
- Coordinate and deliver company orientations for new employees as required.
- Deliver company training programs based on pre-existing information. Update training programs as policies and procedures change.
- Update employees training files for job preparation including data entry and booking of sessions. Work with Project Management to determine man power and appropriate training.
- Create project specific posting boards based on applicable regulations and audit to comply with standards.
- Maintain Material Safety Data Sheets and update as required for shop, projects, office and vehicles.
- Maintain company uniform services.
- Order Personal Protective Equipment supplies and maintain inventory.
- Assist with fleet management in vehicle safety, vehicle inspections and participate in fleet management meeting.
- Scan and organize all truck inspections and daily tool box talks and report deficiency’s.
- Coordinate the Joint Health and Safety committee meetings.
- Manage the first aid room and inspect all first aid kits on a monthly basis.
- Plan for, and conduct health and safety training including WHIMIS, Personal Protection Equipment etc.
- Liaison with customer contacts and act as a support for Health and Safety Team.
- Participate in Manpower meeting and offer any support required for job preparation.
- Trained as a Confined space attendant and rescue to help support in the field when required as per the Health and Safety Lead.
Qualifications & Experience
- Minimum 3 - 5 years HSE experience in industrial, construction, or mining environments
- Strong working knowledge of: O. Reg. 213/91, 851, and 854
- Proven experience developing: JHAs, Risk assessments, Safe work procedures
- Experience managing prequalification platforms (ISNetworld, COR, Avetta, etc.)
- Working knowledge of WSIB processes and return-to-work programs
- Experience with training systems and records management
Pay: $25.00-$30.00 per hour

Experience:

- Ontario Regulations 213/91, 851 and 854 : 2 years (preferred)
