Executive Personal Assistant (Part-Time) – Private Client

A private client is seeking a highly organized, discreet, and proactive Executive Personal Assistant to provide trusted administrative support. This is a confidential, high-trust role supporting a mix of personal administration, healthcare coordination, and business-related matters.
The right person is practical, resourceful, and able to take unclear problems, break them down into actionable steps, and move them forward without repeated reminders.

- Montreal-based, hybrid
- Approximately 10 hours per week to start
- $25/hour to start
- Compensation reviewed after 3 months, with potential increase to $30/hour based on demonstrated performance

Core Responsibilities
- Managing priorities, follow-ups, deadlines, and outstanding administrative matters
- Drafting emails and professional communications
- Scheduling appointments and managing calendars
- Coordinating healthcare-related appointments, documents, and follow-ups
- Organizing documents, files, records, and trackers
- Conducting light research and summarizing options clearly
- Supporting business administration and client-facing coordination
- Handling sensitive personal and professional information with discretion
- Following up with external offices, service providers, and contacts as required
Strong Fit If You
- Have at least 2 years of direct experience as an executive assistant, personal assistant, medical office administrator, patient coordinator, or in a closely comparable role
- Are highly organized and detail-oriented
- Are comfortable making phone calls and following up firmly but professionally
- Are calm under pressure and able to work with ambiguity
- Are tech-savvy and comfortable using Microsoft 365, digital productivity tools, and learning new systems quickly
- Are discreet, reliable, and professional
- Are based in Montreal and available for occasional in-person support
- Hold a valid driver's licence (an asset)

- Deadlines, appointments, and follow-ups are proactively managed
- Administrative issues are tracked through to completion
- Communications are professional, timely, and well organized
- The client spends less time managing administrative tasks and more time focused on priorities
