At Thermon, we're looking for an Administrative Assistant who will serve as the welcoming face of our Calgary office and play a key role in supporting our team, visitors, customers, and vendors. As our Administrative Assistant, you'll help create a positive experience for employees and visitors while supporting essential office and accounting functions.

Act as the first point of contact for visitors, customers, and employees, creating a professional and welcoming experience

Answer and direct incoming calls across Thermon locations

Manage front desk and reception responsibilities

Process incoming and outgoing mail and courier shipments

Assist with phone system administration and programming as needed

Train and support team members providing reception coverage

Provide general administrative support to ensure smooth day-to-day operations

Take on additional projects and responsibilities as needed

Maintain the incoming cheque log and prepare daily deposits

Code and enter accounts payable invoices into Dynamics AX2012 for processing

Review vendor statements and reconcile outstanding invoices

Respond to vendor inquiries in a timely and professional manner

Support the accounting team with administrative and financial tasks as required

Minimum 2 years of administrative or receptionist experience in a fast-paced office environment

Minimum 2 years of accounts payable experience

Experience working with multi-line phone systems

High school diploma or GED required; post-secondary education or relevant certifications are considered an asset

Experience with Dynamics AX2012 or a similar ERP system

Strong Microsoft Excel skills
