About the Role
We are seeking an experienced and detail-oriented Finance Manager to join our growing healthcare and wellness practice specializing in motor vehicle accident (MVA) rehabilitation services and private-pay wellness and counselling programs in Ontario. You will manage all aspects of financial operations, including insurance billing, protected accounts, report releases, irrevocable directions, accounts payable, payroll, settlement negotiations, and month-end reporting. You will directly oversee the bookkeeper and mentor the broader finance team. This position requires excellent communication skills to interact with insurance adjusters, clients, lawyers, and other key stakeholders. The ideal candidate is tech-savvy, comfortable navigating multiple systems simultaneously, and brings a proactive mindset toward streamlining financial processes.
What You’ll Do
Billing & Revenue Cycle Management
- Oversee all billing operations, including MVA/auto insurance claims and private-pay invoicing for wellness and counselling services
- Manage the Bridgepoint billing platform, ensuring accurate and timely submission of treatment plans, OCF forms, and invoices to insurers
- Monitor and manage protected invoices and protected accounts, ensuring compliance with Ontario auto insurance regulations
- Lead settlement negotiations with insurance adjusters and legal representatives to resolve outstanding accounts and maximize collections
Report Releases, Irrevocable Directions & Reconciliations
- Reconcile and manage the report release process, ensuring all clinical and financial reports are released accurately and per insurer requirements
- Oversee irrevocable directions, tracking and ensuring proper allocation of funds as directed by claimants and their legal representatives
- Ensure thorough and timely reconciliations of all expenses and payments, identifying and resolving discrepancies
- Monitor protected accounts to ensure funds are properly held, allocated, and disbursed in compliance with applicable regulations
Stakeholder Communication
- Serve as a primary point of contact for financial matters with insurance adjusters, clients, lawyers, and other external stakeholders
- Communicate clearly and professionally regarding billing inquiries, settlement discussions, payment status, and account reconciliations
- Build and maintain strong working relationships to facilitate efficient claims resolution and payment processing
Financial Operations & Reporting
- Oversee the month-end closing process, ensuring all transactions are accurately recorded, reconciled, and reported
- Manage accounts payable, including vendor payments, expense approvals, and payment scheduling
- Administer consultant payroll, ensuring accurate and timely payments to all practitioners and service providers
- Prepare financial reports and analyses as required by management
Process Improvement & Technology
- Identify opportunities to streamline financial workflows, reduce manual processes, and improve departmental efficiency
- Navigate and manage multiple software systems and platforms with proficiency
- Evaluate and recommend tools or process changes to enhance financial operations
- Team Leadership
- Directly oversee and manage the bookkeeper, reviewing work for accuracy and ensuring day-to-day financial tasks are completed on time
- Mentor and develop the finance team, providing guidance, training, and performance feedback
- Implement and refine financial processes, controls, and best practices across the department
What We’re Looking For
- 3–5 years of experience in a finance or accounting management role, preferably in healthcare, rehabilitation, or insurance billing
- Excellent verbal and written communication skills — you’ll be speaking regularly with adjusters, clients, and lawyers
- Excellent computer skills with the ability to navigate multiple software systems and platforms simultaneously
- Strong knowledge of Ontario auto insurance billing, including MVA claims, OCF forms, protected accounts, irrevocable directions, and the LAT framework
- Hands-on experience with the Bridgepoint billing/case management platform
- Experience with financial reconciliations, accounts payable, payroll administration, and month-end close
- Proven ability to negotiate settlements on outstanding accounts with insurers and legal representatives
- A proactive, solutions-oriented mindset with a track record of streamlining processes
- Post-secondary education in Accounting, Finance, Business Administration, or a related field
- CPA designation or equivalent an asset
- Experience overseeing a bookkeeper or small finance team
- Familiarity with private-pay billing for wellness and counselling services
- Experience with Jane App and SkeduleX
- Proficiency with accounting software (QuickBooks, Sage, or similar)
