Job Overview:
Reporting to the Operations Supervisor (or designate), the Office Assistant supports the day-to-day administrative tasks. This includes but not limited to responding to donation requests, providing driver logistical support, route creation, and coordinating partner deliveries. Provides additional support during absences of the Operations Supervisor (or designate). Provides customer service excellence and professionalism when dealing with donors, partners, and vendors and assist with the maintenance of donor records and the database.
What You Will Be Doing:
· Answer incoming telephone calls, resolve complaints, and provide general information to donors
· Facilitate donor pickup requests to ensure it follows route pickup schedule
· Transfer dropped off donations to facility storage
· Complete reminder calls for next day donation pickup
· Generate donation pickups by calling potential donors
· Set up partnership schedules, clothing drives and special events
· Data entry and maintenance of donor records in database
· Advise drivers of any changes to delivery partners quota
· Create driver routes, delegate to drivers, complete special requests, and process cancellations
· Record and process daily truck reports
· Monitor and notify drivers of any changes to daily pickup routes and assist with route issues
· Communicate with Customer Service Agents to resolve concerns and assist with distribution of work
· Assist in training Customer Service Agents (where applicable)
· Create and delegate donor calling lists, make corrections, upload to donor management software
· In the absence of the Operations Supervisor (or designate):
· ensure designate is informed of any issues requiring immediate attention
· approved employee time sheets in ADP
· as key holder, opens (and closes) office for drivers especially when Supervisor is away
· Keep all administrations forms up to date and stocked (daily covid check in, partner sheets, drop box sheets)
· Key holder: open for business and lock up at closing
· Attend promotional events, special outings help with clothing drives
· Promotion of and building awareness of Kidney Clothes Program and Kidney Foundation
· Other duties as required
Qualifications, Skills and Experience Needed:
· High School
· 2 years of office administration experience, or equivalent
· Proficiency in Windows and MS Office Suite (Outlook, Word, Excel, Power Point, SharePoint, Teams etc.)
· Excellent communication and telephone skills
· Able to communicate effectively with a wide variety of people
· Professional, calm, and positive disposition with the ability to successfully navigate stressful situations.
· Able to work independently and to handle multiple priorities
· Joint Health & Safety Committee Certification, First Aid & CPR/AED Level C Certification
· Neat handwriting and accuracy with figures
· Accurate data entry
· Able to lift 20 to 35 lbs. on occasion
· Previous experience in cross training an asset
