Purpose of the role
Reporting to the Team Lead, Warehouse and Procurement, the incumbent contributes to the smooth operation of daily activities related to procurement and internal services. They ensure various follow-ups related to inventory, orders, and the needs of stores and internal departments, while also participating in logistics activities and process improvement initiatives.
Key Responsibilities
- Follow up on secondary inventories from the various departments and ensure data is kept up to date;
- Monitor orders, quantities, and recurring needs;
- Analyze data, discrepancies, and trends to support decision-making and process optimization;
- Participate in various logistics support activities, including shuttles, shipments, box pickups, rolling racks, and material handling;
- Support the logistics preparation for store openings, internal events, room reconfigurations, and ad hoc requests from various departments;
- Ensure that records, carrier address books, procedures, and the department’s various tracking tools are kept up to date;
- Communicate with stores to carry out the necessary follow-ups and respond effectively to their requests;
- Collaborate with internal teams and various stakeholders to ensure effective coordination of activities;
- Participate in identifying improvement opportunities to help enhance the department’s operational efficiency.
Your Profile
- Organization and priority management: Excellent ability to structure follow-ups, manage several requests simultaneously, and meet deadlines.
- Thoroughness and attention to detail: Strong focus on the accuracy of data, inventories, orders, and the various tracking tools.
- Analytical mindset and solution orientation: Comfortable analyzing data, identifying discrepancies, and proposing concrete improvement opportunities.
- Coordination and collaboration: Ability to work effectively with stores, internal departments, and various partners to ensure activities are well coordinated.
- Autonomy and proactivity: Ability to take ownership of responsibilities, show initiative, and adapt to changing operational needs.
- Versatility and teamwork: Ability to balance administrative follow-ups and logistics activities in a dynamic environment, while contributing positively to teamwork.
Requirements
- Bilingualism in French and English, spoken and written;
- Relevant experience in administrative support, logistics, procurement, order tracking, or inventory management, an asset;
- Good knowledge of the Microsoft 365 suite, particularly Excel, Outlook, Teams, and SharePoint;
- Ability to perform certain physical tasks and move materials as needed;
- Availability between 7:30 a.m. and 5:00 p.m., three days per week, specifically Tuesdays, Wednesdays, and Thursdays (22 to 24 hours per week).
