Position Summary:
As a member of the Supply Chain Team, the Customer Service Coordinator provides professional and responsive customer service by supporting customer orders and communications from receipt through delivery.
The Coordinator is responsible for accurate order entry, maintaining customer information, responding to inquiries, monitoring order status, and supporting the Supply Chain team with day-to-day customer service activities. The role works closely with Sales, Logistics, Warehouse, and Finance to support timely and accurate order fulfillment.
The position requires strong attention to detail, organization, communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Primary Responsibilities:
Customer Order Management
- Receive, review, and accurately enter customer orders in Fishbowl and internal tracking systems.
- Verify key order details, including pricing, UOM, MOQs, delivery dates, and ship-to/bill-to information.
- Monitor order status and communicate updates or issues to customers and internal teams.
- Maintain accurate customer and order records.
- Identify discrepancies and escalate issues outside the Coordinator's scope.
- Support the E-commerce fulfillment team with order entry, fishbowl adjustments and systems processing of orders within fishbowl or alternate portals as required
- Support the Supply Chain team with day-to-day order fulfillment activities.
Customer Service & Communication
- Assist with customer complaints, order issues, delivery questions, and follow-up.
- Maintain positive relationships with customers, vendors, and internal stakeholders.
- Escalate complex or unresolved customer issues to the Customer Service Specialist or Supply Chain Manager.
Customer Data & Administrative Support
· Maintain accurate customer profiles and order information in Fishbowl and internal systems.
· Assist with customer onboarding and updates to customer requirements.
· Support basic EDI and customer setup activities, escalating technical issues as required.
· Assist with customer receipt discrepancies and documentation.
· Support reporting, filing, phones, mail, event coordination, and other administrative duties as required.
Team Collaboration
· Work closely with Sales, Logistics, Warehouse, and Finance to support customer orders.
· Communicate customer requirements and order changes to the appropriate teams.
· Follow established company procedures and service standards.
· Identify recurring issues and bring them forward to the Customer Service Specialist or Manager.

Education and Qualifications:
Education & Experience
- Minimum 2 years of customer service, order entry, order management, or administrative experience.
- CPG, food manufacturing, or distribution experience is an asset.
- Experience with ERP, order management, or logistics systems is an asset.
- Knowledge of EDI systems is an asset.
- Strong Microsoft Excel and computer skills.
Technical Requirements
- Strong Excel skills and analytical mindset required.

Pay: $41,600.00-$62,400.00 per year
