Omega Group of Companies is a fast-paced and growing group of businesses involved in development, property operations, hospitality, and entertainment. We are looking for a highly organized, reliable, and proactive Executive Assistant / Office Administrator to join our team immediately.
This role is ideal for someone who enjoys organization, multitasking, problem-solving, and keeping multiple projects moving efficiently day to day.
Key Responsibilities
- Executive and office administrative support
- Managing calendars, meetings, calls, and scheduling
- Email and correspondence management
- Preparing letters, reports, documents, and meeting materials
- Organizing files, records, invoices, and confidential business documents
- Coordinating meetings, agendas, follow-ups, and action items
- Liaising with consultants, contractors, tenants, and outside professionals
- Managing office workflow and helping prioritize urgent matters
- General office coordination and day-to-day administrative support
- Assisting ownership with project coordination across multiple businesses and properties
- Research, follow-up, and handling special projects as required
- Supporting operations and ensuring deadlines and tasks are tracked and completed
Qualifications
Must Have:
- Previous experience in office administration, executive assistant, or operations support role
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Strong computer skills including Microsoft Outlook, Word, and Excel
- Ability to work independently and handle multiple priorities in a fast-paced environment
- Professional, detail-oriented, and highly dependable
- Valid driver’s license and access to a vehicle
Preferred:
- Experience supporting senior management or ownership directly
- Experience coordinating with outside professionals, vendors, or consultants
- Comfortable handling confidential information with professionalism and discretion
- iPhone proficiency / strong mobile communication skills is an asset
