Position Summary:
The Maintenance and Operational Excellence Coordinator is responsible for leading and coordinating maintenance activities across the facility while driving continuous improvement initiatives. This role ensures the effective implementation of maintenance programs, including Preventive Maintenance (PM) and Autonomous Maintenance (AM), and fosters a culture of operational excellence. The coordinator will collaborate with cross-functional teams to enhance equipment reliability, optimize production processes, and reduce downtime.
Responsibilities includes but not limited to the following:
Maintenance Coordination:
- Oversee and manage the scheduling, planning, and execution of all maintenance activities, including routine and preventive maintenance.
- Works directly and indirectly with other departments within the scope of maintenance, e.g. scheduling for PM’s as need.
- Ensure timely response to equipment breakdowns and coordinate repairs to minimize production disruptions.
- Develop and maintain a comprehensive maintenance schedule, ensuring all equipment is serviced according to manufacturer specifications and company standards.
- Monitor and manage maintenance budgets, including spare parts inventory and procurement.
- Monitor incoming and outstanding requests including audit findings and work order requests from other departments
- Communicate with work order requesters for complete clarity of work to be performed
- Keep PM program accurate and current, including printing and distributing PM’s, monitor and follow up of PM’s, adding new equipment, keep calibration requirements up to date, closing PM’s
- Works with maintenance tracking software to ensure all equipment is scheduled for PM's and other maintenance as needed.
- Ensure all activities in PM program are completed in time frame allowed by their priority code
- Keep maintenance logs for all equipment and machinery
- Perform risk assessments, complete hot work permits, as needed
- Maintain accurate maintenance inventory including tools and spare parts
- Must be able to work overtime and/or on weekends as the job requires
- Other duties may be required as assigned
Operational Excellence:
- Lead the implementation and continuous improvement of maintenance-related Operational Excellence initiatives, including TPM, 5S, and other Lean methodologies.
- Identify opportunities for process improvements and work with relevant teams to implement solutions that enhance equipment efficiency and reduce downtime.
- Support the development and deployment of Autonomous Maintenance (AM) programs, including operator training and standard work procedures.
- Collaborate with production teams to analyze equipment performance data, identify trends, and drive corrective actions.
Team Leadership and Development:
- Provide leadership and guidance to the maintenance team, including technicians and operators, ensuring high levels of engagement, performance, and development.
- Conduct regular training sessions for maintenance staff on best practices, safety protocols, and new technologies.
- Foster a culture of teamwork, accountability, and continuous improvement within the maintenance department.
Safety and Compliance:
- Ensure all maintenance activities comply with safety regulations, company policies, and industry standards.
- Conduct regular safety audits and risk assessments, and implement corrective actions to mitigate risks.
- Maintain accurate records of maintenance activities, including work orders, inspections, and compliance documentation.
Reporting and Analysis:
- Track and report on key performance indicators (KPIs) related to maintenance effectiveness, equipment reliability, and operational efficiency.
- Prepare regular reports for senior management, highlighting achievements, challenges, and opportunities for improvement.
- Use data-driven analysis to support decision-making and continuous improvement initiatives.
Minimum Qualifications:
- Bachelor’s degree in Engineering, Industrial Maintenance, Operations Management, or a related field; equivalent experience will also be considered.
- 3–5 years of experience in maintenance coordination or a similar role, preferably within a manufacturing environment.
- Strong knowledge of maintenance practices, including Preventive Maintenance (PM) and Autonomous Maintenance (AM).
- Proficiency with Computerized Maintenance Management Systems (CMMS) and other relevant maintenance and operational tools.
- Excellent communication, leadership, organizational, and problem-solving skills.
- Proven ability to collaborate effectively with cross-functional teams and lead initiatives that drive continuous improvement and organizational change.
Preferred Skills:
- Certification in Maintenance Management (e.g., CMRP, CMRT) or Lean Manufacturing.
- Professional Engineer (P.Eng.) designation is considered an asset.
- Experience with data analysis and reporting tools.
- Familiarity with asset management and reliability engineering concepts.
Working Conditions:
- This role may require occasional evening or weekend work to address urgent maintenance needs.
- The position involves working in a manufacturing environment, which may include exposure to noise, temperature variations, and machinery.
