About the Opportunity
We are seeking a detail-oriented and organized Accounts Payable & Payroll Administrator to join our finance team. Reporting to the Financial Controller, you will play a key role in managing the full accounts payable cycle while supporting accurate and timely payroll processing. Key ResponsibilitiesAccounts Payable
- Process and verify vendor invoices in a multi-currency environment.
- Code invoices accurately and match them to purchase order receipts within the ERP system.
- Investigate and resolve invoice discrepancies with vendors and internal departments.
- Communicate with vendors regarding payment inquiries and account issues.
- Reconcile vendor statements and maintain accurate vendor records.
- Coordinate payment approvals with internal stakeholders.
- Prepare weekly cheque runs and electronic payments.
- Apply payments to vendor accounts and maintain accurate records.
- Review and reconcile GST accounts, making adjustments as required.
- Create purchase orders for non-PO expenses.
- Process weekly corporate credit card payments and reconciliations.
- Prepare and record petty cash journal entries.
- Assist with accounts payable general ledger reconciliations.
- Complete month-end intercompany reconciliations.
- Support month-end close activities and working paper preparation.
- Maintain organized and confidential financial records.
- Participate in weekly team meetings focused on process improvements.
- Perform additional accounting and administrative duties as assigned.
Payroll
- Process bi-weekly or monthly payroll accurately and on schedule.
- Calculate wages, overtime, bonuses, commissions, and payroll deductions.
- Maintain employee payroll records, benefits, tax forms, and payroll updates.
- Ensure compliance with federal and provincial payroll legislation.
- Prepare and submit payroll remittances, including income tax, CPP, and EI.
- Respond to employee payroll inquiries professionally and confidentially.
Qualifications
- 3–5 years of Accounts Payable experience.
- Post-secondary diploma or degree in Accounting, Finance, or a related field.
- Experience with ERP systems is considered an asset.
- Experience using ADP Payroll and HR systems is an asset.
- Experience processing Canadian payroll; U.S. payroll experience is an advantage.
- Strong proficiency with Microsoft Excel, Outlook, and Word.
- Excellent organizational skills with strong attention to detail.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently and collaboratively within a team.
- High level of integrity and discretion when handling confidential information.
