POSITION SUMMARY:
The UKG Pro Administrator reports to the Senior Human Resources Director and serves as the in-house expert for the Tsuut’ina Nation’s human capital management system (UKG Pro). The position configures, administers, secures, and maintains the platform in support of the Nation’s government administration, spanning Core HR, Recruitment, Onboarding, Compensation, Performance Management, Payroll, and Timekeeping. The incumbent builds and automates workflows, keeps employee and pay data secure, and delivers reporting that supports sound decisions. This is a system administration role and does not process payroll. It requires strong technical skill, sound judgment, discretion with sensitive information, and the ability to explain the system in plain language to all users.
DUTIES AND RESPONSIBILITIES:
System Administration and Configuration: Serve as the primary subject matter expert and administrator for UKG Pro. Configure, test, and maintain modules across Core HR, Talent Acquisition (Recruitment and Onboarding), Compensation, and Performance Management, and build the business rules and automated workflows that support them.
Payroll and Timekeeping System Administration: Configure and maintain the payroll and timekeeping modules, including pay rules, earnings and deductions, pay groups and calendars, accruals, and statutory holiday and overtime rules, all configured to align with applicable legislation. Maintain correct system treatment of taxable and exempt employment income, including the on-reserve tax exemption for eligible employees.
Access and Security: Define and assign role-based access so that staff see only the information they are authorized to access, build custom security roles, and manage service accounts and secure access keys for backend processes.
Data Integration and Integrity: Manage integrations with other systems, including single sign-on, the finance general ledger, and direct deposit bank files, and lead the mapping, validation, and audits that keep employee and pay data accurate.
Reporting and Analytics: Build and distribute custom reports and dashboards using UKG Pro People Analytics and business intelligence tools (Cognos), giving leadership clear information on trends such as turnover, overtime, and labour costs.
Updates and Change Management: Manage scheduled UKG Pro releases by reviewing release notes, testing changes in a sandbox before they reach production, and communicating new features to staff to keep disruption low.
Support and Training: Act as the main point of contact and escalation for system access and troubleshooting, manage support cases with UKG, and develop training materials and sessions that build strong adoption across the Nation.
QUALIFICATIONS AND SKILLS:
- Post-secondary diploma or degree in Human Resources, Information Systems, Business Administration, or a related field.
- Three (3) or more years in HRIS or HCM system administration, with hands-on experience configuring and administering UKG Pro.
- Experience configuring UKG Pro Payroll and Timekeeping (Workforce Management), including pay rules, year-end processing, and configuration that aligns with applicable legislation.
- Experience with UKG Pro Talent Acquisition, Onboarding, Compensation, and Performance Management; familiarity with its AI and analytics tools is an asset.
- Working knowledge of HR systems architecture, security roles, workflow automation, and reporting (Cognos/BI).
- CPHR designation, or a National Payroll Institute (PCP/PLP) or recognized HRIS certification, is an asset.
Personal Attributes:
- Strong analytical and problem-solving skills, with attention to data accuracy.
- Able to translate technical information into plain language for non-technical users.
- Excellent communication, professionalism, integrity, and sound judgment.
- Reliable, diplomatic, and able to maintain confidentiality of employee and payroll data.
- Experience with, or a strong understanding of, First Nations communities and governments is a significant asset
