Job Title: Sales Coordinator

We're looking for a Sales Coordinator to join our team on a maternity leave term. While this position is initially a temporary opportunity, there is the potential for you to transition into a permanent position if it's the right fit for both the successful candidate and our company.
What you'll be doing:
As the Sales Coordinator, you'll be the first point of contact for prospective clients and play an important role in creating an outstanding customer experience. You'll help guide clients through the early stages of their journey while supporting the sales process and ensuring projects are set up for success.
Frontline Client Relations
- Serve as the first point of contact for incoming client inquiries by phone and email, creating a professional, welcoming, and responsive first impression.
- Build positive relationships with prospective clients while understanding their project goals and needs.
- Capture, organize, and direct client inquiries to the appropriate team members.
- Provide exceptional customer service while representing Robinson Residential Design's values and professionalism.
Service Knowledge & Client Education
- Develop a strong understanding of our services, design process, pricing, timelines, and project offerings.
- Communicate our services confidently and accurately to prospective clients.
- Help clients understand the design process and ensure expectations are aligned from the beginning.
- Identify qualified opportunities and support clients in determining the services that best fit their needs.
Sales Process & Project Coordination
- Execute our established sales process from initial inquiry through project handoff.
- Prepare proposals, agreements, and project documentation.
- Ensure project setup, file creation, and documentation are completed accurately and efficiently.
- Coordinate meetings between clients and internal team members.
- Ensure all required information and documentation is prepared prior to meetings.
Sales Tracking & Administrative Support
- Maintain accurate records of inquiries, leads, and project status.
- Keep sales tracking systems and reporting up to date.
- Support process improvements through organized record keeping and reporting.
- Assist with general office administration, including maintaining files, printing drawings, supporting QuickBooks Online records, and ensuring the office remains organized and running smoothly.

Qualifications & Experience
While we are open to candidates from a variety of backgrounds, the following are considered strong assets:
- Minimum 3 years experience in a similar role.
- Business Degree or related post-secondary education is strongly preferred but not required.
- Experience preparing proposals, estimates, or client documentation.
- Experience in residential construction, estimating, or related industries.
- Experience with Microsoft Office (Word, Excel, Outlook), Canva, and QuickBooks Online.
- Strong organizational, time management, and project tracking skills.

Position Details
- Full-time (40 hours/week), Monday to Friday
- In-office position
- Target start date: August 17, 2026 (earlier start date may be considered)
- Targeted term: 12 – 18-month term
