Rockyview Orthopedic & Veterinary Referral Specialists (ROVRS) is seeking an experienced Veterinary Referral Coordinator to become a member of our specialty surgery team.
We are seeking an experienced veterinary professional who finds genuine joy in fostering positive professional partnerships and helping families navigate specialized veterinary care. Our Veterinary Referral Coordinator serves as a trusted liaison, seamlessly uniting our specialty team, referring veterinarians, and clients, while also providing exceptional client services to our existing pet families.
This is far more than a scheduling position. As our veterinary referral coordinator and client liason, you’ll help to ensure that the referral experience is seamless, positive, professional and compassionate from the first phone call through specialty consultation and ongoing communication. You will also play a vital role in shaping the referral experience while helping to strengthen partnerships with veterinary hospitals throughout Atlantic Canada.
What you’ll do:
- Coordinate specialty referrals from all manners of veterinary practices and client inquiries.
- Ensure positive, compassionate and prompt communication with clients to explain the referral process and schedule appointments
- Obtain medical records and diagnostic results from referring practices in a timely and congenial manner.
- Maintain and update patient records, including referral documentation, referral logs, communications and appointment status, while maintaining practice confidentiality at all times.
Referring Veterinary Relations:
- Serve as the primary point of contact for referring veterinary hospitals while building long term professional relationships with referring veterinary teams.
- Facilitate communication between referring doctors and ROVRS specialists.
- Help strengthen referral partnerships throughout HRM and Atlantic Canada
Client Experience:
- Guide clients through specialty scheduling and the referral process with empathy, kindness and professionalism.
- Provide outstanding in-person customer service during patient appointments, including billing, scheduling and assisting with the admissions process.
- Ensure that every client feels informed, supported and cared for at every stage of their experience with ROVRS.
Hospital operations:
- Collaborate closely with other members of the specialty team.
- Maintain detailed referral documentation.
- Support hospital growth initiatives and community outreach efforts.
What we’re looking for:
This is not an entry level position.
We are looking for someone who understands veterinary medicine and enjoys building meaningful relationships. Candidates must have the following:
- Minimum 2+ years of experience working in a veterinary hospital
- Strong understanding of veterinary medical terminology and aptitude for learning new terminology quickly
- Maintains a professional demeanor and appearance at all times
- Exceptional communication and customer service skills, with emphasis on abilities to communicate compassionately and professionally with impeccable grammar and speaking skills.
- Comfortable speaking professionally and intelligently with all members of the veterinary community including all veterinary team members and clients.
- Outstanding organizational and time-management abilities, with an ability to manage multiple tasks in a fast-paced environment.
- Experience utilizing practice management software, with preference given to those familiar with Ezyvet and Smartflow
- Previous experience as a:
o Veterinary Referral Coordinator
o Referral Relationship Manager
o Veterinary Client Service Supervisor
o Lead Veterinary Receptionist
o Veterinary Receptionist
o Client Services Representative
o Surgical Referral Veterinary Assistant with experience communicating with clients
o Hospital Coordinator
Strong Preference given to candidates who have the following:
- Specialty or emergency veterinary hospital experience is strongly preferred
- Experience coordinating referral between general practice and specialty hospitals
- Bilingual English and French
