The Trillium Lakelands District School Board invites applications for a
PERMANENT FULL-TIME PAYROLL OFFICER 1 at LINDSAY EDUCATION CENTRE
This permanent, full-time (12 month) position is available starting immediately. This position is replacing a current position.
Job Function:
As a member of the Payroll team, this position shares the responsibility for payroll administration, ensuring a confidential, high level of service to employees. This position is responsible for the preparation, entry and audit of employee data in the payroll systems, as well as the responsibility for the maintenance of records related to the payroll function.
Duties of the position include:
- Prepare and administer payroll which includes but is not limited to verifying, auditing, reviewing and/or creating staffing notifications and other source documents, ensuring correct pay/salary adjustments and deductions (LTD, union dues, tax exemptions, vacation pay percentage and benefit premiums ), ensuring accurate accruals and verifying banking changes, etc.
- Calculate, enter &/or upload manual payroll adjustments including contracts, statutory holiday pay, retro pay, pay to grid, SEB's, and benefits such as LTD, pension, garnishments, etc.

Calculation, deduction and remittance, on a bi-weekly basis, of Family Support, Garnishments, and various Federation Fee payments.
- Ensure compliance with Collective Agreements, and with Government legislation i.e. overtime, special premiums, statutory holiday, etc.

Ensure assigned payroll responsibilities are completed within designated deadlines/timelines including performing associated pension tasks as prompted by the Payroll Officer II.

Issue Records of Employment as required. Verify earnings with Service Canada when requested.

Issue TD1's & CPT30 information and update payroll exemptions as required, utilizing PDOC to confirm accurate calculations.

Monitor employee service records to ensure required pay increases and other compensation related entitlements are processed as required (i.e. vacation, banked time, probationary increases, etc.).

Create and maintain internal payroll department processes.
- Frequent verbal and written communication with employees to obtain and provide payroll related information.

Respond to third party providers such as Service Canada, Unions, Garnishees and Family Support office

Prepare and/or provide reports for various departments as requested by the Payroll Supervisor utilizing various software packages.

Enter, upload and/or audit timesheets and attendance; ensuring all are complete, accurate and authorized.
- Assist supervisors with year-end balancing and reporting
- Filing of payroll-generated information as required.
- Assume responsibility for additional payrolls in the case of absence or time restraints.
- File relevant documentation as required to ensure up-to-date record management and/or record retention.
- Collaborate with human resources and finance on payroll related matters.
- Discretely handle details of highly confidential information.
- Other related duties as assigned
Qualifications Required:
- Completion of two year diploma program in a related field (i.e. Payroll Administrations or Business Management)
- A minimum of two years of related experience
- Demonstrated working knowledge and technical skills specifically working with computerized payroll systems, using multi-screen database systems,
- Proficient computer skills- Microsoft and Google applications, Gmail, MS Office Suite i.e. Word, Excel, Board software
- Ability to work in a fast paced work environment
- Strict adherence to meeting deadlines
- Strong organizational skills, accuracy and attention to detail
- Strong analytical, problem-solving, mathematical skills
- Strong oral and written communication skills
- Able to work independently and as part of a team
- Proficiency in utilizing the Service Canada Record Of Employment (ROE) website
- Demonstrated ability to use judgment and discretion when handling confidential information
Hours of Work: 35 hours per week, Monday to Friday Location: Lindsay Education Centre, in Lindsay, Ontario Hourly Wage: $34.87 to start to a maximum $40.68
Point Band: 12 (Unionized Position)
