Job Summary
The Constituency Office Assistant plays a vital role in supporting the daily operations of the office, providing exceptional customer service, managing administrative tasks, and ensuring smooth communication between constituents and the MLA. This position requires strong organizational skills, proficiency with office software, and the ability to handle multiple responsibilities efficiently. The ideal candidate will have experience in clerical and administrative functions, with a focus on maintaining a welcoming front desk environment and supporting various office functions.
Responsibilities
- Manage incoming and outgoing mail
- Writing letters, certificates, cards, and messages
- Filing
- Management of client files
- Management of equipment and supplies
- Management of the schedule of activities
- Bill payments
- Keeping the contact list up to date
- Greet visitors, create a welcoming environment
- Take calls and e-mails and do the necessary follow-ups
- Provide information and guidance to help constituents
- Communicate with government officials to assist in resolving issues
- Prepare and maintain a complete file of client's issues
- Exhibit polite and professional communication via phone, e-mail, mail or any other means.

- Team work with MLA
Requirements:
- Proven clerical or administrative experience in an office setting
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong phone etiquette and customer service skills for handling inquiries professionally
- Ability to manage filing systems and perform accurate proofreading of documents
- Demonstrated ability to work independently with minimal supervision while collaborating as part of a team
- High school diploma or equivalent required; additional administrative training or certification is a plus
- Being able to communicate in both official languages is a plus
Pay: $30.00 per hour
