Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and operational support to a Director.
This position is ideal for someone who is proactive, enjoys managing multiple priorities, and has strong attention to detail and follow-through. The successful candidate will assist with day-to-day administration, purchasing activities, research, tracking, correspondence, and ongoing projects.
Responsibilities
- Provide day-to-day administrative support to the Director.
- Organize and manage emails, correspondence, documents, and follow-up items.
- Maintain spreadsheets, reports, trackers, and administrative records.
- Assist with purchasing activities, including researching products and suppliers, obtaining quotes, compiling information, and following up on orders and outstanding requests.
- Conduct research and gather information for projects and business needs.
- Track deadlines, action items, and outstanding matters and ensure appropriate follow-up.
- Prepare correspondence, reports, documents, presentations, and other materials.
- Coordinate information with internal departments, suppliers, and external contacts.
- Assist with scheduling, meetings, and general administrative requirements.
- Support special projects and other administrative or operational activities as required.
Qualifications
- 2 - 4 years of administrative, office support, or related experience preferred.
- Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset.
- Strong Microsoft Excel skills are required, including the ability to create and maintain spreadsheets, organize data, use formulas, and prepare reports.
- Strong working knowledge of Microsoft Word and Outlook.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and follow tasks through to completion.
- Comfortable conducting research and independently following up on outstanding items.
- Proactive, dependable, and able to adapt to changing priorities.
- Ability to exercise discretion and maintain confidentiality.
Working Conditions
- Position is primarily based in a professional office environment.
- Regular use of a computer and standard office equipment.
- Frequent interaction with employees, suppliers, and external contacts.
- Ability to manage changing priorities and deadlines in a fast-paced environment.
- Occasional travel between Company locations or to local suppliers may be required.

Pay: $45,000.00-$50,000.00 per year
