We are currently looking for a professional and detail-oriented Document Controller to join our Calgary team. Working as part of our document management team, they will collaborate closely with our current Document Controllers, Project Managers, Engineers, Designers, and Drafters to support internal and external client document management activities. This is a full-time position with opportunities for growth.
Working in a small team of automation professionals and engineers, the successful candidate will use their experience and organizational skills to support our team with a wide variety of document management tasks.
Responsibilities:
- Assist in managing and organizing documentation throughout its lifecycle, ensuring accuracy, efficient organization and accessibility of critical information.
- Help facilitate communication between Xcel Automation and external Document Control groups, including clients and vendors.
- Maintain version control for drawings (e.g., IFD, IFC, etc.) and ensure proper distribution to internal teams and external stakeholders.
- Maintain document logs and help track deliverables for active projects.
- Manage and maintain master document repositories.
- Maintain electronic and hardcopy-controlled documents such as Squad Checks and Master Stick files.
- Support the use of Electronic Document Management Systems (EDMS) such as Meridian, SharePoint, and Aconex.
- Facilitate document transmittals, approvals, and responses to client documentation requests.
- Assist with the development and maintenance of project and non-project related document templates.
- Help support a customized document management system developed internally for a client major project.
- Other duties may be added as the role evolves, and the candidate grows with the company.
Qualifications:
- Demonstrated experience in document control administration, ideally in engineering or construction-related environments.
- Familiarity with EDMS platforms such as Meridian, SharePoint, DocuWare, and Aconex is preferred.
- Proficiency in software such as Bluebeam and Adobe Acrobat is preferred.
- Experience with Microsoft Office Suite (Word, Excel, Outlook).
- High attention to detail and excellent organizational skills.
- Ability to work independently and is self motivated within a team environment.
- Strong time management and communication skills.
- Knowledge of construction and engineering terminology is an asset.
Wage is dependant on candidates’ qualifications and previous experience.
