FULL-TIME; 18-MONTH CONTRACT
Position Overview:
To provide effective service to employees and management team by performing daily HR duties to ensure smooth operations across all departments. Tasks include conducting orientations, facilitating full-cycle recruitment, assisting with group benefits administration, providing administrative support, and completing other HR tasks as required.
Primary Duties & Responsibilities:
· Escalate unanswered questions and/or complaints accordingly - maintain contact with employee until issue is fully resolved.
· Collaborate with Supervisors/Managers to promote positive work-life culture and employee relations.
· Maintain visibility and connection with front line staff.
· Identify and coordinate organizational training sessions, in conjunction with Management.
· Assist employees in understanding and adhering to the procedures, guidelines, and policies outlined in both the Collective Agreement and TransCare®Employee Handbook.
· Communicate the details of the Agency’s Group Benefit Plans and Group Registered Retirement Savings Plan, guiding employees through the enrollment and termination processes.
· Support recruitment activities by conducting HR orientations, collecting and entering new hire data, establishing employee files, scheduling interviews, conducting reference checks, and tracking medical and police checks.
· Assist in administrative operations by performing tasks such as data entry, filing, and managing databases. Ensure timely processing and distribution of employee letters and documents.
· Maintain communication with representing Union for employee status updates.
· Maintain a variety of confidential HR-related documents, including employment verification letters, personnel files, employment applications, benefit enrolments and employee terminations – ensuring completeness of files.
· Organize and coordinate HR-related meetings, and documenting meeting notes.
· Assist employees and supervisors in reporting workplace accidents, injuries, and illnesses.
· Ensure timely processing of leave of absence (LOA) and vacation requests in collaboration with department Managers and Supervisors.
· Work with HR team, Finance & Payroll, Facilities and IT teams;
· Participate in HR training sessions and meetings as designated.
· Perform other HR related tasks and projects as required.
Job Specifications:
· Post-secondary degree/diploma with concentration in Human Resources Management or an equivalent combination of education and experience in the Human Resources field.
· One year relevant experience in a similar human resources position; experience in a unionized environment is an asset.
· Sector familiarity in a Human Resources support role is preferred.
· Good knowledge of Employment Standard Act, Ontario Labour Relations Act, and Occupational Health and Safety Act.
· Proficiency in using Microsoft Office suite (Excel, Word, PowerPoint, Outlook).
· Proficiency in using HRIS-QHR is an asset.
· Demonstrated initiative and sound judgment.
· Excellent oral and written communication skills.

Work Conditions and Physical Capabilities:
· Monday to Friday from 8:30 to 4:30 with occasional evenings as required.
· General office environment with significant amount of computer and telephone use.
· Can lift &/ or carry 6-13.5kg (15-30 lbs).

Pay: $39,000.00-$44,450.00 per year
