Studio Plastic Surgery is one of Toronto’s leading plastic surgery and medical aesthetics clinics, known for delivering natural, beautiful results with the highest standard of patient care. We’re currently seeking a highly organized, polished, and client-focused Front Desk / Administrative Assistant to join our growing team.
As the first impression of our clinic, you’ll play a vital role in creating a welcoming, professional, and seamless experience for every patient who visits or contacts us. This position is perfect for someone who thrives in a fast-paced, patient-centered environment and enjoys balancing client service with administrative responsibilities.
Key Responsibilities:
Administrative Assistant/Receptionist & Client Experience
- Serve as the first point of contact for patients by phone, email, and in person
- Answer and direct incoming calls, manage voicemails, and ensure timely follow-up
- Schedule consultations and manage provider calendars efficiently
- Deliver exceptional service by addressing questions and concerns with empathy and clarity
- Greet and check in patients, ensuring a warm and professional experience from start to finish
- Track patient leads and follow up strategically to convert inquiries into bookings
- Maintain accurate records of patient interactions and appointment statuses
- Assist with EMR/CRM data entry, scanning, and file management
- Collaborate with the medical aesthetics and clinical teams to ensure a seamless patient journey
What We’re Looking For:
- Minimum 3-5 years of experience in customer service or administrative support (preferably in a medical, plastic surgery, dermatology, aesthetics, or spa setting) Hourly rate is based upon experience.
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and emotional intelligence
- Strong attention to detail and time management skills
- Comfortable with scheduling platforms, EMRs, and Microsoft Office
- A polished, proactive, and welcoming approach to client service
